Job description

Our client is seeking a Legal Secretary to work as part of a team, providing secretarial and administrative support to a designated group of professionals. This role allows the team to utilise their time more efficiently on client-related work. The position entails a standard working week of 37.5 hours, with flexible working hours between 8:30 am - 5:00 pm or 9:00 am - 5:30 pm.

Job Duties:

  1. Typing, transcribing, and performing other word processing tasks.
  2. Handling filing and correspondence duties.
  3. Managing telephone and conference call communications.
  4. Overseeing diary management.
  5. Checking and processing business-related expense claim forms.
  6. Managing files and archiving, ensuring all matter opening data is captured.
  7. Assisting with conflict checks.
  8. Booking meeting rooms, equipment, and catering.
  9. Collaborating with Marketing & Business Development (M&BD) to provide a range of administrative support as requested.
  10. Checking and proofreading documents and making necessary amendments.
  11. Assisting in the creation of new clients/matters on the Document Management (DM) system.
  12. Adding partner contacts to the CRM system, ensuring data accuracy and profiling of contacts.
  13. Updating partner marketing & business development activities within the contacts list.
  14. Maintaining and updating contacts on LinkedIn.
  15. Ensuring partners regularly review and update their biographies, passing amendments to the M&BD team for website updates.
  16. Keeping LinkedIn profiles current.

Job Requirements:

  1. Educated to A-Level standard (or equivalent).
  2. Previous experience in some or all of the above duties.
  3. Proficiency in MS Office applications.
  4. Good typing speeds and accuracy are essential.
  5. Secretarial/administration qualifications are advantageous.
  6. Previous experience in a legal environment is beneficial but not essential.
