Job description

My client, an established law firm with offices throughout Yorkshire, is looking to recruit a Floating Legal Secretary to join their Administration Department.

Duties

  1. Providing basic day to day support for a designated lawyer, team, department or office.
  2. Providing day to day administrative and secretarial support for the designated lawyers and assistance when required within the department.
  3. Processing all incoming telephone calls with no undue delay in a courteous and helpful manner; receiving and processing all visitors to the firm, in a helpful, friendly and professional manner. There is a high degree of responsibility to project the image and ethos of the firm at all times.
  4. Assisting in the facilities and operational management of the office in conjunction with and under the direction of the firm's Facilities Manager.
  5. General secretarial office duties including typing, filing, production and distribution of notes and letters, arranging meetings, managing the diary, dealing with general enquiries, and photocopying.
  6. Supporting the designated lawyers in the management of client expectations; managing the working day commitments and production and delivery of legal services.
  7. Liaising with clients by telephone and in person.
  8. Providing general secretarial assistance to designated lawyers and the Department as required.
  9. Willingness to work beyond normal working hours where time pressures and workload require additional input from both lawyer and secretary.
  10. Dealing effectively with all visitors to the office.
  11. Responsibility for the booking of all meeting rooms at the office.
  12. Ensuring the tidiness of the reception area and all meeting rooms; ensuring meeting rooms are stocked with pads and pens; ensuring meeting rooms are cleared and tidy after meetings have concluded and before the next meeting.
  13. Managing and assisting in the provision of catering/refreshments (and clearing away) as required.
  14. Other duties and projects as required.

Skills

  1. Good typing and audio skills.
  2. Knowledge of Microsoft Word and Microsoft Outlook.
  3. Good telephone manner.
  4. Smart appearance.
  5. Good organisational and communication skills.
  6. Ability to work on own initiative.
  7. Ability to handle confidential matters professionally and with discretion.
  8. Tact and assurance in all matters.
