Job description

Are you an experienced Legal Secretary seeking new opportunities? Look no further!

Our client is seeking a full-time Legal Secretary to join their Agriculture and Estates Team.

You will work as part of an administration team to provide professional, proactive, high-level administrative support to an allocated group of fee earners and to the wider fee earning team.

Accountabilities
  1. Communicate effectively with a wide variety of people.
  2. Support and build working relationships with the team leader and wider team members.
  3. Liaise with staff from other departments and external contacts as required.
  4. Accurately maintain and update client and other relevant contact details on the firm’s database.
  5. Process all forms including client questionnaires and money laundering forms.
  6. Assist in maintaining compliant and accurate file management and office systems.
  7. Develop and maintain a good level of understanding of firm policy and process.
  8. Carry out photocopying and scanning in accordance with the firm’s paper-lite and clear desk policies.
  9. Proofread all work, checking for spelling and grammar.
  10. Open files, ensuring compliance requirements are met.
  11. Prepare report bundles both electronically and manually.
  12. Prepare completion statements and accounts forms.
  13. Schedule and manage deeds to ensure records are kept up to date.
  14. Clarify instructions from fee earners if unclear or if deadlines are not explicit.
  15. Provide support to other secretaries within the team and provide cover as necessary.
  16. Ensure work is completed to a high standard and meets required deadlines.
  17. Expert in software packages such as Microsoft Word, Outlook, and Excel to produce correspondence and documents.
  18. Format, paginate, number, and present documents in the firm's house style.
  19. Use a case management system.
  20. Use the HMRC and HMLR portals for submitting Stamp Duty Land Tax returns and HM Land Registry applications.
  21. Maintain a positive and professional approach.

You will have the ability to contribute at an operational level, with excellent communication skills and can demonstrate general skills in:

  1. Strong administration experience.
  2. Positive, enthusiastic, and professional approach.
  3. Strong attention to detail, high-level organisational skills, and reliability.
  4. Self-motivated with an ability to use own initiative and a desire to learn.
