We are seeking a proactive and organised Legal Administrative Assistant to join our dynamic team with the Family Law Department. This role involves comprehensive administrative support to our legal department, ensuring efficient operation through a variety of tasks related to organisation and communication.
Day-to-day of the role:
Manage and organise diaries for all department members to ensure efficient scheduling and coordination.
Meet with clients to assist in the preparation of critical documents such as Form E financial statements, including obtaining, collating, and scheduling necessary documents and liaising with clients for amendments.
Handle new enquiries promptly and ensure all family court hearings and directions are diarised and actioned timely.
Liaise with clients, counsel, courts, and other third parties through email, telephone, and in-person communications.
Prepare and send bills for department approval and subsequent dispatch to clients.
Conduct initial credit control activities, liaising with fee earners regarding outstanding invoices and necessary actions, such as referrals to credit control.
Address client queries regarding fees in consultation with fee earners.
Ensure timely receipt and payment of funds for counsel’s fees and other disbursements.
Monitor court portals daily to update on case status, approved orders, and hearing notices.
Prepare hearing bundles and other documents as per practice direction rules in advance of hearings.
Ensure compliance with court directions by preparing and filing cost statements (Form H, Form H1, N260).
Set up and maintain files in Proclaim, ensuring all compliance checks are completed.
Manage BigHand dictations and prepare standard letters using templates for client communications.
Organise and document minutes for department meetings and handle other administrative tasks as needed.
Required Skills & Qualifications:
Proven experience in a legal administrative role, preferably within a family law environment.
Strong organisational and time management skills with the ability to handle multiple tasks.
Excellent communication skills, both written and verbal.
Proficiency in using legal case management software, preferably Proclaim.
Familiarity with legal documentation and court processes.
Ability to work independently and as part of a team.
