Job Title

Lease Manager

Job Description Summary

The purpose of this role is to manage lease requirements, consult with solicitors on lease documentation for new sites and renewals, workflow processing and approvals in relation to lease billings and reconciliations and conduct quality reviews across lease abstractions and lease interpretation.

Job Description

Lease Administration Reporting
  1. Prepare and complete WIP and Debtors reports with applicable commentary.
Ongoing Data Management
  1. Complete new Converga checklist for back office team.
  2. Action escalations for non-recurring invoices from Back Office and approve in Converga.
  3. Review and approve lease obligation summary and send to relevant parties.
  4. Review and approve annual CPI and Fixed increases implemented.
  5. Liaise directly with the Transaction Management team to ensure alignment of data for lease abstraction, amendments, correspondence and exceptions, premises being exited or changes to current premises so that all database entries are complete and accurate always.
Compliance Certificates
  1. Quality reviews for compliance and insurance certifications.
Invoice Management
  1. Expenditure rent roll review and variance reporting.
  2. Approve all workflows relating to recurring payments, non-recurring payments and lease terminations.
  3. Resolve all payment exceptions and communicate resolution to Landlord / agent.
Revenue Tenant Management
  1. Revenue rent roll review and variance reporting.
  2. Revenue recharges - identify variances, rectify and approve workflow.
  3. Prepare outgoings recharge sheet for new tenants.
  4. Follow up revenue tenants for outstanding payments and approve workflow.
  5. Review year end reconciliation documentation and engage with Auditor.
Transaction Management
  1. Site renewals – upon receiving data from Leasing Executive, consult with and instruct solicitors on lease documentation and execute lease.
  2. Exercise of Option - upon receiving data from Leasing Executive, consult with and instruct solicitors on lease documentation and execute lease.
  3. New revenue tenant - upon receiving data from Leasing Executive, consult with and instruct solicitors on lease documentation and execute lease.
  4. Surrenders – document agreement with Lessor and instruct solicitor / execute documents.
Background and Experience
  1. Minimum 3+ years’ experience working with Property / Lease Management databases and related reporting systems.
  2. Experience & knowledge across a broad range of property activities essential.
  3. Ability to perform critical lease document administration and management functions.
  4. Strong client focus and customer service mindset essential.
  5. Demonstrated ability to act upon client instructions and to negotiate outcomes in line with client expectations.
  6. Able to work independently and as part of both a local and international team.
Qualifications & Technical Skills
  1. Qualifications - Tertiary qualification in Real Estate, Business or Finance, Estate Agents License or Agent’s Representative.

Additional Requirement
  1. Australian Citizen or Permanent Resident (preferred).
