Job description

Omnia Property Group comprises Omnia Estates Ltd. and Omnia Offices Ltd and are a Sheffield based property management company with a block management portfolio of circa 2500 properties.

Omnia has a position vacant for a full time Junior Property Manager to join the existing block management team.

As part of our property management team, your role will be to proactively and professionally manage a portfolio of residential properties, providing an efficient and accurate day to day management service. You will act as the ultimate point of contact for clients and leaseholders, so we are looking for someone that can provide exceptional customer service. Your responsibilities and duties will include:

  1. Develop and maintain good working relationships with clients
  2. Attend and minute board meetings, AGM’s, Directors Meetings and resident meetings
  3. Assist with the Preparation of Service Charge Budgets, including reserve fund calculations reconciliations within set timeframes
  4. Manage and authorise expenditure in line with client instructions and company policy
  5. Carry out site visits at regular intervals in line with management agreements and prepare site inspection reports in the company’s approved format
  6. Complete LPE1 and FME1 forms as part of the resales process, with the support of the relevant property manager.
  7. Project management of reactive and planned repair and maintenance in accordance with client instructions
  8. Undertake Section 20 Consultations in accordance with the Landlord & Tenant Act 1985
  9. With support from senior team members, assist in co-ordinating Lease extensions with solicitors at the request of the client
  10. Review and manage leaseholder requests to undertake alterations, in line with Lease requirements
  11. Reviewing Leases and ensuring services and any issues are dealt with in full compliance with the Lease
  12. Maintain strong working relationships with Brokers, contractors, surveyors and create new working arrangements for the benefit of the Company
  13. Deal promptly with Insurance issues, including claims and renewals
  14. Assist the Health and Safety Team with the Management of statutory compliance issues
  15. Assist the Property Administrator to ensure that all responses to pre-sale enquiries are complete and accurate and a response is provided within agreed timeframes
  16. Ensure all properties are managed and adhere to relevant, Health & Safety legislation, and are in line with ARMA regulations
  17. Keeping up to date with all new and amended regulations and codes of practice relevant to residential block management
  18. Maintain and monitor regular communication with residents and leaseholders as required
  19. Ensure the prompt delivery of service charge demands, budgets and accounts via post, e-mail, company portal as appropriate
  20. Company Secretarial duties where appointed by the client
  21. Any other duties to assist in the smooth and professional operation of the Property Management Team

The ideal person will have prior knowledge of Property Management, they will ideally have knowledge of current legislation and be able to “think outside the box”, be driven and focused on the development of the company as a whole, as well as providing excellent customer service. Ideally the candidate would aspire to obtain IRPM or similar qualifications and have a clean driving licence.
