Job Description

As a member of the Kisco Senior Living Home Office HR team, this position provides administrative and project support for all HR disciplines, including HR general, onboarding, training, and reward & recognition. This role offers outstanding customer service and support to a variety of associates and partners, providing great exposure, learning, and growth opportunities for someone interested in becoming an HR professional.

What will I do every day?

  1. Provides general HR support for the home office team.
  2. Assists with new hire onboarding for in-person and remote associates.
  3. Supports the annual Kisco benefits open enrollment process.
  4. Maintains and updates employee records in HR systems and physical files.
  5. Assists with HR audits for community and home office employee file compliance.
  6. Maintains current HR files/documents on the Kisco Intranet (powered by SharePoint).
  7. Enters new hire information into the HRIS.
  8. Reviews Home Office HR mail and distributes it to the appropriate people.
  9. Provides monthly HR home office & all-community meeting support.
  10. Manages candidate pre-employment processes for Home office new hires (background checks, drug screens, and TB tests).
  11. Conducts reference checks to comply with Kisco policy.
  12. Assists in recruiting activities as needed.
  13. Organizes employee engagement activities and events.
  14. Assists with audits and filing of mandatory compliance forms.
  15. Prepares HR reports.
  16. Assists in updating HR policies and procedures.
  17. Supports HO HR with special projects and initiatives.
  18. Ensures workplace safety guidelines are followed.
  19. Coordinates workplace safety initiatives.
  20. Assists with conflict resolution or escalates employee concerns.
  21. Serves as a point of contact for HR-related inquiries.
  22. Supports onboarding preparation for new hires at the home office and community management directors.
  23. Assists with various Kisco reward and recognition programs.
  24. Assists with the annual performance review process.
  25. Manages the training calendar and logistics for Kisco’s Leadership & Performance workshop.
  26. Coordinates and leads new hire orientation for home office associates.

What will I need to be successful in the role?

  • High school degree or GED with a minimum of 2 years of experience supporting a recruiting and/or HR team is required. College degree is preferred.
  • Experience in an administrative capacity required, with strong organizational and multi-tasking skills.
  • Excellent customer service skills; comfortable interacting and communicating with all levels of management, associates, candidates, company visitors, and telephone callers.
  • Proven organization skills with high attention to detail; able to accurately document and maintain records and files.
  • Able to multitask and manage a large volume of work with continuous interruptions while establishing priorities.
  • Must maintain confidentiality of extremely sensitive candidate and company information.
  • Proficient with basic PC software packages such as MS Outlook, Word, Excel, & PowerPoint; previous experience using an ATS is preferred.
  • Ability to understand and follow published policies and procedures.
  • Effective oral and written communication skills; approaches all encounters with residents, associates, and vendors in a friendly, service-oriented manner.
  • Able to collaborate with colleagues and thrive in a team environment; punctual and dependable.

Will work in the home office in Carlsbad, California, up to 3 days a week. Other days will be remote.
