HR Advisory Apprentice – 18 month fixed term contract

Hours:
9:30 a.m. to 5:30 p.m. with flexibility in accordance with the needs of the business.
Purpose of the role:
To provide a proactive HR administration service to the HR team working within the generalist function, but with flexibility to work across teams as necessary.
Responsibilities
The following is a list of some of the core responsibilities for this role; however, it is likely that a number of other responsibilities/duties may also be necessary to ensure the required level of HR service is met.
- Responsible for all aspects of pre-employment from the point of offer, including the preparation of contracts of employment and associated new joiner paperwork. Liaise with departments to agree a start date.
- Responsible for new joiner pre-employment onboarding. Liaise with our external referencing and occupational health providers and ensure that all necessary pre-employment checks are completed and any actions followed up. Escalate any issues to the HR Advisor as necessary.
- Liaise with Global Mobility on visa requirements/right to work checks for new joiners, ensuring the Firm’s reporting obligations are met.
- Responsible for updating and maintaining immigration tracking documents to ensure employee visa information is accurately captured and monitored.
- Responsible for the leavers process, including the preparation of leavers letters and annual leave calculations. Liaise with departments across the Firm to arrange a leave date, return of equipment, arranging exit interviews, etc.
- Acting as the HR Generalist team’s “HRIS expert,” i.e., overall responsibility for the information on the Firm’s HRIS system (PeopleSoft). This includes entering new joiner information timely and accurately, updating leavers, actioning changes, running reports, and regularly auditing the system for information discrepancies. Liaise with the Firm’s HRIS team to make changes and/or improvements.
- Support the HR Advisor with flexible working requests, including the preparation of paperwork, updating reports, and the HRIS systems.
- Responsible for arranging inductions, liaising with various departments across the firm as necessary. Ensure new starters are kept up to date and prepared for their introduction to the firm.
- Prepare references, e.g., for ex-employees, mortgage/tenancies, etc.
- Arranging for the payment of invoices through Chrome River and liaising with the Accounting Department as necessary.
- Deal with general staff queries via email, over the telephone, and face to face.
- Assist other members of the team with ad hoc requests and projects as and when required.
- Photocopying and scanning as necessary/requested.
- Carry out e-filing and archiving ensuring all personal files and HR records are kept up to date at all times.
- Liaise with the payroll department and external providers if necessary, to ensure all payroll information is accurate and all relevant steps are processed in a timely manner, often working to tight deadlines.
- Diary management ensuring all key dates are captured and accurate, e.g., probations, leave dates, etc.
- Support the Recruitment Team with arranging interviews and liaising with hiring managers, candidates, and recruitment agencies.
- Draft correspondence for review by the HR Management team as requested, e.g., probation letters, leaver letters, flexible working arrangements, etc.
- Update and maintain organisational structure charts for the London and Dubai offices.
Qualifications
Educated to A level or equivalent.
Minimum of 5 GCSEs English and Maths grade 4 / C or above.
This role would be suitable for someone looking to study the HR CIPD Level 3.
