We have an exciting opportunity to join Restaurant Associates as a Hospitality Administrator to play a key role in ensuring the smooth operation of hospitality services for a global sporting team. This involves managing guest experiences, supporting with organising logistics, and ensuring that the high standards of our brands are met. This position offers a hybrid working arrangement, with time split between our London Office, other office locations and remote working.
Job Summary:
As our Hospitality Administrator you will be responsible for supporting the planning, coordination, and execution of hospitality services. This individual will work closely with hospitality teams, suppliers, and VIP clients to deliver an exceptional guest experience. The role requires a strong attention to detail, excellent organisational skills, and a customer-focused mindset to maintain our premium standards.
Key Responsibilities:
- Event Planning & Coordination:
- Assist in the preparation and management of hospitality programs ensuring all logistics are in place.
- Assist with liaising with vendors, caterers, and suppliers to organise event setups, catering, seating arrangements, and entertainment.
- Support with the coordination of VIP experiences, ensuring all guest requests and requirements are handled efficiently.
- Client & Guest Management:
- Serve as the primary point of contact for VIPs, corporate clients, and sponsors attending hospitality events.
- Address any special requests or needs from guests, ensuring a seamless and high-quality experience.
- Prepare guest lists, invitations, and other event-related communications.
- Budgeting/Reporting:
- Assist with the management of hospitality budgets, tracking costs and expenditures to ensure projects remain within budget.
- Prepare post-event reports, including guest feedback, event performance, and financial summaries.
- Administration & Documentation:
- Maintain accurate records, contracts, and correspondence related to hospitality operations.
- Process invoices, purchase orders, and other documentation related to event logistics.
- General Office Duties.
Our Ideal Administrator:
- Previous experience in the sports industry is a plus.
- 2-3 years of experience in hospitality, event planning, or customer service, ideally in high-end or corporate environments.
- Exceptional organisational and multitasking skills.
- Ability to work under pressure and adapt to fast-paced environments.
- Proficiency in MS Office Suite (Excel, Word, PowerPoint).
- Attention to detail and a proactive problem-solver.
- High level of professionalism and discretion.
