Primary Key Responsibilities
The main responsibilities of the Clinical Administrator include but are not limited to:
- Medical Summarising and SNOMED CT Coding
- Review patient records thoroughly and produce accurate summaries of medical histories.
- Code clinical data using SNOMED CT within the EMIS Web system, adhering to coding standards to ensure data quality and compliance.
- Regularly monitor summarising progress to meet practice targets and maintain high data accuracy.
- CQC and QOF Compliance
- Conduct monthly searches and audits to ensure the practice meets CQC and QOF standards.
- Identify and contact patients for recalls as necessary to maintain CQC and QOF compliance.
- Participate in internal and external audits, assisting with compliance monitoring and reporting.
- Patient Registration and Deduction
- Process patient registrations and deductions within the EMIS Web system accurately, in accordance with NHS and practice guidelines.
- Ensure patient records are complete and up-to-date to support high-quality care.
- Prescription Processing
- Handle prescription requests according to practice protocols, verifying details and coordinating with clinical staff to address any queries.
- Ensure efficient processing of prescription requests to support medication management for patients.
- Medical Reports and Documentation Requests
- Process requests from patients, insurance companies, and other entities for medical reports and documentation.
- Liaise with clinical staff and ensure accurate, timely completion of requests, following data protection protocols.
- Correspondence and Documentation Management
- Review, process, and file all incoming correspondence, including clinical letters, ensuring action is taken in line with established protocols.
- Scan, photocopy, and attach patient-related documentation to healthcare records as needed.
- Enter relevant data into patients healthcare records, ensuring accurate and timely updates.
- Administrative and Staff Support
- Answer incoming calls, transferring or managing caller's requests professionally.
- Conduct system searches in EMIS Web to support clinical and administrative requests.
- Provide administrative support to clinical staff, contributing to an effective team environment.
- Meeting and Policy Management
- Record minutes for practice meetings, documenting discussions and agreed actions accurately.
- Participate in the annual review of all practice policies with the management team, ensuring they reflect current standards and guidelines.
- Work Area Maintenance
- Maintain a clean, organised, and effective working area, supporting productivity and professionalism.
Secondary Key Responsibilities
In addition to the primary responsibilities, the Clinical Administrator may also be required to:
- Audit Participation
- Assist with practice audits as directed by the audit lead, contributing to quality improvement initiatives.
- Reception and Administrative Support
- Provide cover for reception staff during absences.
- Assist with booking patient appointments as needed.
Qualifications & Skills Required:
- Experience in clinical administration or medical coding, with proficiency in EMIS Web and SNOMED CT.
- Knowledge of CQC and QOF standards and experience in supporting audit and compliance activities.
- Excellent organisational skills, attention to detail, and ability to work independently.
- Strong communication skills, with a focus on professionalism and confidentiality.
