Title: Guest Services Representative

Location: London Liverpool St

Hours: 12pm - 9pm

Salary: Competitive

Ryder Reid Legal is recruiting for a personable Guest Services Representative to join the dynamic team of one our global law firm clients on a permanent basis, where you'll be at the forefront of the firm's front-of-house operations. This role is pivotal in managing meeting rooms and providing top-notch facilities and office services. The ideal candidate would be a front of house professional who can deliver exceptional, client-focused service to partners, staff, and clients, all while maintaining the highest standards of hospitality and professionalism.

Key Responsibilities:

  1. Meeting Room Management: Efficiently manage conference space bookings using EMS, ensuring all client needs, including catering and AV services, are met.
  2. Visitor Management: Register visitor details in the Building Visitor Management system for smooth access and security.
  3. Technical Support Coordination: Report and escalate technical issues promptly.
  4. Shift Handover: Provide detailed handovers at the end of each shift.
  5. Switchboard Operations: Professionally manage switchboard calls, ensuring timely responses.
  6. Access Control: Manage access to floors via intercom, verifying caller identity.
  7. General Administrative Support: Offer ad-hoc support as needed.

Qualifications:

  1. Proven excellence in customer service with a focus on hospitality.
  2. Strong verbal and written communication skills.
  3. Exceptional organizational and multitasking abilities.
  4. Flexibility to adapt to changing schedules.
  5. Ability to work independently and as part of a team.
  6. Proactive problem-solving skills.
  7. High level of confidentiality and professionalism.
  8. Attention to detail.

Technologies/Software:

  1. Proficiency with EMS or similar room booking systems.
  2. Familiarity with ServiceNow or other Helpdesk tools.
  3. Comfortable with standard office equipment.
