Role purpose: AFME is the leading trade association for the wholesale banking industry in Europe focussing on a wide range of markets and banking regulation issues and offering a pan-European perspective.

On behalf of our members, AFME engages in a constructive dialogue with regulators and legislators across Europe and advocates the industry’s views in the media, at conferences, events and through publications and other channels. Our events play a key role in AFME’s work, bringing together our members, other parts of the industry, politicians, regulators and the media to discuss issues and to share views.

We host an annual programme of approximately 25 events each year with a strong focus on high-quality content. Combined, these attract over 250 speakers, 5000 delegates and are held in major European cities such as Amsterdam, Barcelona, Brussels, Frankfurt, London, and Madrid. The team also organises smaller seminars, dinners, and webinars throughout the year. For many members, these events are the only time they come into direct contact with AFME so the quality of member experience, the value of the content and the planning and execution must be of the highest standards.

We are looking for an Events Graduate to work alongside our event managers and administrators on a wide range of projects. You will get the opportunity to assist the team on their events and gain understanding of the complete planning process.

This graduate programme is a great chance to understand the key components of the events industry, as well as the chance to develop important skills that are easily transferable to future employment.

Key activities / Decision areas

Event Administration

  • Data collation and input for events, e.g., event registrations and updating contact details (delegate management)
  • Assist with enquiries from delegates
  • Send, collect and collate speaker/sponsor materials, engaging with external partners to ensure sponsor deliverables are received and accurately stored in good time such as company logos & descriptions, delegate names and agreed marketing materials
  • On direction from event or sponsor manager, raise sponsor contract and invoices and monitor payments, including chasing outstanding payments
  • Liaising with suppliers and contractors, including researching new suppliers, obtaining quotations for services, providing cost comparisons
  • Assisting on venue research, sourcing, and liaison
  • Assist team members with all pre-event responsibilities (e.g., preparing delegate lists, name badges, signage, collecting and packing event material to send to venues, shipping, and delivery, etc.)
  • Supporting on-site at events, when appropriate
  • Collation and reporting of post-event feedback evaluations
  • Engage with internal business divisions to facilitate effective support, management and messaging in the delivery of all events

Event Management

  • Manage small AFME events, such as the Summer Party or an AFME member seminar. Responsibilities would include:
  • Budget management
  • Business partner/stakeholder management
  • Work with the Marketing Manager to produce event marketing and communication strategies to support promotion and attendance in line with AFME brand values

CRM/ Data management

  • Assist with setting up and testing of event registration/website pages
  • Update the website with speaker and sponsor information; make additional amendments as required and advised
  • Collation of delegate reports and production of attendee lists
  • Data cleaning/management

Research

  • On an ad hoc basis, support the sponsorship sales team to research companies and find contacts for potential new sponsors of our events

Person specification

Required attributes and skills:

  • Enthusiastic and proactive candidate with good organisational skills and a positive attitude
  • Excellent oral and written communication skills
  • Able to follow instructions and carry out agreed tasks within given deadlines
  • Strong attention to detail
  • Reliable with good time keeping
  • IT literate, especially with Microsoft Office
  • Knowledge of event registration systems (ideally with a CRM system)
  • Other European Language

The successful candidate will have the legal right to work in the UK and continental Europe.
