Job description

Fleet Controller
Day Shift - 4 on 4 off including weekend working on a rotation
Tamworth, Staffordshire.

This role of Fleet Controller is to monitor all company fleet (assets) downtime, reporting daily VOR/VNA internally, communicating with third party support partners on fleet availability & taking ownership of the admin functions relating to motor insurance claims.

The role is essential to the business, maintaining good relationships with manufacturers, repairers, and service providers. Being the first point of contact for drivers, dealing with defects and repair agents. The role is administrative heavy and would suit someone that has the ability to multitask and can demonstrate flexibility in covering absence for other team members. This is a full-time position, based on site in our offices.

Key Responsibilities

  1. Taking calls from drivers and organising the correct action to take (defected asset).
  2. Closing and adding defects to Fleet Management System.
  3. Monitor Vehicle Off the Road (VOR) and total Vehicle's Not Available (VNA).
  4. Provide tyre information for call outs and rectification.
  5. Communicating out fleet availability to other departments and stakeholders.
  6. Working closely with other colleagues of the Fleet Team to reduce cost, fleet downtime and accidents.
  7. Calling third party support partners: chasing fleet availability and cost for Insurance repairs.
  8. Supporting the communication process for compliance documents when required.
  9. Chasing invoices, Processing Purchase orders and distributing in suitable time.
  10. Open initial communication for all motor insurance claims.
  11. Work with internal teams and external suppliers to collate costs for insurance claims.

Essential Criteria:

  1. IT proficient in office 365 and be able to demonstrate experience especially within Excel (Pivot tables, formulas, conditional formatting and worksheet designs).
  2. Demonstrate the ability to liaise and adapt own interpersonal/ communication style when dealing with internal colleagues and external stakeholders.
  3. Have experience working in a fast-paced and high-pressured office environment.
  4. Must demonstrate flexibility and the ability to multitask effectively while managing a high volume of work across fleet and operations, often under tight deadlines.
  5. Logistics and/ or fleet/ transport experience is desirable.
