Financial Operations Lead

Role: Finance Operations Lead
Location: Remote working, with occasional in-person meetings
Contract: 35 hrs p/w

Salary: £37,000

This is a fantastic opportunity to work for a charity for older people which is focused on preventing and alleviating the loneliness that can come with later life.

The Finance Operations Lead has key objectives to complete tasks relating to both accounts payable, accounts receivable, and banking processes in the Finance department. This opportunity would be well suited to someone who has demonstrable experience of facilitating the key activities of a busy finance operations team.

Main Responsibilities will include, but are not limited to:

  1. Supervise the Finance Officers to ensure that all purchase ledger invoices and refunds to tenants are processed and paid within prescribed timescales.
  2. Ensure invoices are scanned and processed within prescribed timescales.
  3. Review monthly supplier statements reconciliations and follow up on any commentary from previous monthly reviews.
  4. Escalate any issues in the purchase ledger or with suppliers to the Finance Manager on a weekly basis.
  5. Manage the purchase ledger module within our housing system including the setup and management of supplier accounts.
  6. Prepare, review and transmit supplier payment runs in line with ALS payment schedules.
  7. Complete month-end procedures and deliver the effective close of the AP system in line with period-end deadlines.
  8. Monitor all relevant purchase ledger mailboxes ensuring timely resolution of queries raised by both suppliers and internal stakeholders.
  9. Ensure all refunds to tenants and local authorities are approved and paid in line with the delegated authority of approvers and coded correctly when processed.
  10. Complete monthly balance sheet reconciliation in line with prescribed timescales.
  11. Responsible for generating the purchase ledger ageing analysis and supplier payment date reports.
  12. Oversee the range of activities that fall under banking, accounts receivable, and rent ledger tasks, reporting on progress and challenges in weekly meetings with the Finance Manager.

About You

Skills and experience required for this role:

  1. Demonstrable experience as a Finance Operations Lead or equivalent in a supervisory transactional finance role.
  2. Solid understanding of finance operations principles.
  3. Proven ability to manage processes and update financial records within timescales for the department.
  4. An affinity for delivering excellent customer service.
  5. Ability to demonstrate hands-on experience balanced with excellent leadership skills.
  6. High degree of accuracy and attention to detail.

Essential Criteria:

  1. Excellent communication skills – both written and oral.
  2. Demonstrable experience of leadership in a similar role.
  3. Intermediate proficiency in MS Office suite, particularly Excel and Word.

Desirable Criteria:

  1. Experience of housing and finance software.
  2. An appreciation of the work delivered by a not-for-profit or voluntary organisation.
  3. Proficient in the use of Microsoft Office suite, particularly Excel and Word.
