Job Title: Finance Operations Specialist

Location: Hybrid (part-time, flexible)

Reports to: Operations Manager

Salary Range: Experience Dependant

Hours: Part-Time (minimum 16 hours per week, split over at least 4 days)

Overview:

As a Finance Operations Specialist, you will manage our day-to-day financial operations with a flexible, part-time schedule. This hybrid role offers the flexibility to work both remotely and on-site, with a minimum of 16 hours per week spread across at least 4 days. You will ensure accuracy, compliance, and efficiency in bookkeeping, payroll, supplier billing, financial reporting, and tax submissions, working closely with our accountants and collaborating on special projects to improve financial and company productivity.

Key Responsibilities:

  1. Day-to-Day Bookkeeping: Manage and oversee all routine bookkeeping tasks, ensuring accuracy and timeliness in recording transactions and updating financial ledgers.
  2. Monthly Billing: Process monthly billing for clients and services, ensuring accuracy in invoicing and timely communication with clients regarding billing queries.
  3. Payroll (Including Commission): Administer payroll through Employment Hero, ensuring accurate calculations for salaries, commissions, and bonuses.
  4. Financial Reporting: Prepare financial statements, profit & loss reports, and balance sheets on a regular basis.
  5. VAT Preparation and Submission: Prepare and submit VAT returns in compliance with HMRC regulations.
  6. Supplier Reconciliation and Monitoring: Review and reconcile supplier invoices to ensure accuracy.
  7. Payments from Bank Accounts: Process payments to suppliers, staff, and other vendors.
  8. Internal Company Expenses: Manage and track internal company expenses, ensuring appropriate documentation.
  9. Financial and Business Planning: Collaborate with management to provide financial analysis and forecasting.
  10. Purchasing: Support the purchasing process, ensuring that all transactions are recorded accurately.
  11. Pricing Support: Work with sales and management teams to provide pricing support.
  12. Year-End Preparation for Accountants: Assist in preparing year-end financial documents for submission to external accountants.
  13. Special Projects: Work closely with the Managing Director and other team members on special projects.

Key Software and Tools:

  • Xero for financial management and bookkeeping.
  • Dext for managing receipts, bills, and invoices.
  • Employment Hero HR and Payroll for employee payroll management.
  • Go Cardless for automating direct debit payments.
  • AutoTask for billing and project management.
  • Cloud Depot and Cloud Olive for supplier and subscription management.

Requirements:

  • Proven experience as a bookkeeper or financial operations specialist.
  • Proficiency in Xero, Dext, and other financial software.
  • Experience with payroll systems, ideally Employment Hero.
  • Strong understanding of VAT preparation and submission.
  • Experience in managing payments from bank accounts and supplier reconciliations.
  • Experience in monthly billing cycles and payroll, including commissions.
  • Ability to work independently and as part of a team.
  • Excellent communication skills for working with internal teams and external suppliers.
  • Strong analytical skills and attention to detail.
  • Knowledge of relevant tax laws and compliance.

Preferred Qualifications:

  • Certification or diploma in bookkeeping, accounting, or finance.
  • Familiarity with IT service management platforms such as AutoTask.
  • Experience in financial planning and analysis.
  • Experience in year-end preparation for accountants and financial audits.
