Job description

We are seeking a dedicated and detail-oriented Finance & Administration Manager to join our small and energetic team. This role is crucial in managing the financial health of the organisation and ensuring smooth administrative operations. The ideal candidate will have a strong background in finance, excellent organisational skills, and the ability to work independently. Experience in charitable finance in accordance with UK charity law is a bonus.


Key Responsibilities

Financial Management:

  1. Oversee all financial operations including budgeting, forecasting, and financial reporting.
  2. Prepare monthly, quarterly, and annual financial statements.
  3. Manage accounts payable and receivable.
  4. Ensure compliance with financial regulations and standards, including UK charity law.
  5. Conduct financial analysis to support decision-making.
  6. Coordinate with external auditors and manage audit processes.
  7. Develop and implement financial policies and procedures.
  8. Oversee statutory reporting requirements to Companies House, ensuring accuracy, compliance, and timely submission.

Administration:

  1. Manage office operations and administrative functions.
  2. Maintain records and documentation in an organised manner.
  3. Handle emails, website referrals, and inquiries.
  4. Assist in HR functions such as payroll processing and employee record management.

Support Functions:

  1. Collaborate with other team members to support organisational goals.
  2. Provide administrative support to senior management.
  3. Prepare financial reports and presentations for the Board of Trustees to facilitate informed decision-making.

Essential Qualifications and Skills:

  1. Bachelor’s degree in Finance, Accounting, Business Administration, or a related field.
  2. Minimum of 3 years of experience in finance and administration roles.
  3. Proficiency in financial software (such as Xero) and Google Office.
  4. Strong analytical and problem-solving skills.
  5. Excellent organisational and time management abilities.
  6. Meticulous attention to detail.
  7. Strong communication and interpersonal skills.
  8. Ability to work independently and collaboratively as part of a team.
  9. Knowledge of financial regulations and compliance standards.

Desirable Experience and Attributes:

  1. Professional certification (e.g., ACCA, CIMA) is advantageous.
  2. Experience in charitable finance, including knowledge of UK charity law.
  3. Background in the non-profit or performing arts sector.
  4. Familiarity with charity finance and reporting requirements for the Charity Commission (UK).
