Job description

CBRE Global Workplace Solutions is a leading global provider of integrated facilities and corporate real estate management. We are recruiting for a Facilities Coordinator.

The post holder will manage facilities services at our busy reception/goods-in site in Sunbury. They will oversee the Computerised Maintenance Management System (CMMS) across multiple sites, ensuring timely work orders and an accurate Planned Preventive Maintenance (PPM) schedule. This includes managing asset records and maintaining current, accurate, and compliant system data.

They will staff the main reception, providing a professional front-of-house service to visitors and staff, greet logistics providers, handle incoming parcels, and manage outgoing mail. Strong interpersonal skills, excellent communication, and the ability to multitask effectively are essential.

The post holder will deputise for the Facilities Manager during absences, acting as a point of contact for issues or queries. They will perform minor repairs, move office equipment, and maintain a tidy environment.

As part of their QHSE responsibilities, they will assist with site inspections and audits, raise Unsafe Acts and Unsafe Conditions (UAUCs), and track actions to completion, promoting a positive safety culture.

Key Responsibilities
PPM and CMMS Management:

Manages and is responsible for the work order process by both reactive and planned, and as part of a wider team, cover during periods of absence.

  1. Manage the Planned Preventive Maintenance (PPM) schedule via a Computerised Maintenance Management System (CMMS) ensuring service SLAs are met in line with account KPI's.
  2. Route and prioritise reactive work orders, dispatching requests to on site staff or 3rd party vendors.

As part of the regional team of Coordinators, assist in managing Service Requests that come in and cover for team members whilst they are on leave.

Updating PM Schedule and asset data as required.

Customer Service:

As a Facilities Coordinator, provide prompt, courteous assistance to visitors, clients, and staff. Address needs professionally, ensure a welcoming environment, and foster positive interactions to build lasting relationships.

  1. Greet and assist visitors, clients, and employees at the reception area.
  2. Handle incoming inquiries and directing to the appropriate departments.
  3. Ensure a welcoming and professional environment at all times.
  4. Provide site orientation when needed.
  5. Provide a first-rate customer focus.
Facility Maintenance:
  1. Perform basic handyman tasks such as minor repairs and general upkeep.
  2. Coordinate with external vendors for specialised maintenance and repair services.
  3. Conduct regular inspections to ensure facilities are safe, clean, and well-maintained.
Hard FM:
  1. Via monitoring 3rd party vendors, oversee the maintenance and repair of building systems, including HVAC, electrical, and plumbing.
  2. Receive feedback on maintenance activities both verbal and written to inform next course of action.
  3. Liaise with contractors regarding repairs.
  4. Ensure compliance with health and safety regulations and standards.
Soft FM:
  1. Supervise cleaning, landscaping, and waste management services.
  2. Ensure the provision of security, and other support services meeting contractual SLA and reporting issues.
  3. Monitor and improve the quality of soft services to enhance the workplace environment.
Qualifications:

Education and Experience:
  1. Educated to GCSE level.
  2. A minimum of two to four years of related Facilities Coordinator experience.
  3. CMMS experience (Preferably Maximo).
Certificates and/or Licenses:
  1. A full UK Driving Licence is essential with access to own car. (Some travel may be needed to support site operations at other sites - although rare).
  2. IOSH Managing Safety/NEBOSH (advantageous).
