Job description

Job Summary:
The Facilities and Security Manager is responsible for overseeing the maintenance, functionality, and safety of the organization's physical infrastructure while ensuring a secure environment for employees, guests, and assets. This role combines strategic planning, operational oversight, and team management to maintain facilities and implement robust security protocols in alignment with organisational goals and compliance standards.

Key Responsibilities:
Facilities Management:

  1. Plan, coordinate, and supervise the maintenance, repair, and operation of all building systems (e.g., HVAC, plumbing, electrical, etc.) to ensure optimal functionality.
  2. Manage facility budgets, including costs for maintenance, repairs, and improvements.
  3. Oversee vendor contracts and service agreements (e.g., cleaning, pest control) to ensure quality and cost-effectiveness.
  4. Ensure compliance and regulations related to building codes, safety standards, and environmental guidelines.
  5. Coordinate travel arrangements and logistical support for employees or management as needed.
  6. Management of fleet vehicles including budgeting, tracking, and servicing.
  7. Manage day-to-day office operations, including coordinating appointments and maintaining office supplies inventory.

Security Management:

  1. Design, implement, and maintain security policies, procedures, and systems to protect personnel, property, and sensitive information.
  2. Oversee the maintenance and monitoring of security technologies (e.g., CCTV, access control systems, alarms).
  3. Conduct regular risk assessments and security audits to identify vulnerabilities and recommend improvements.
  4. Manage security personnel (in-house or contracted) to ensure effective coverage and response to incidents.
  5. Collaborate with law enforcement, emergency services, and other external stakeholders during security incidents or drills.
  6. Train staff on security protocols, emergency procedures, and situational awareness.

General Duties:

  1. Respond to facility and security emergencies, providing leadership and resolution during incidents.
  2. Maintain accurate records of maintenance activities, security incidents, and equipment inventories.
  3. Prepare and present reports to senior management on facility performance, security status, and project updates.
  4. Foster a culture of safety and accountability across the organization.
  5. Stay updated on industry trends, technologies, and best practices in facilities and security management.

Experience:

  1. Strong experience in facilities management and security operations.
  2. Strong knowledge of building systems, safety regulations, and security protocols.
  3. Proven leadership and team management skills, with the ability to oversee staff and vendors effectively.
  4. Excellent problem-solving, organizational, and communication skills.
  5. Proficiency in facilities and security software (e.g. Web Fleet, access control systems, and CCTV systems).
  6. Certification in facilities management (e.g., CFM, FMP) or security (e.g., CPP, PSP) is a plus.
  7. Ability to handle confidential information with discretion and integrity.
  8. Must have a valid SIA Close Protection license.

Physical Requirements:

  1. Ability to conduct site inspections and respond to emergencies.
  2. Willingness to be on-call for after-hours emergencies as needed.
