You will play a key role in the delivery of the IWM public programme across the 5 IWM branches. You will be responsible for the planning, co-ordination, management and delivery of the production phase for temporary exhibitions, including the project management of the construction and object installation. Working with both internal and external stakeholders you will ensure the exhibitions open on time, within budget and to the highest possible standard.

You will be a critical member of the project team, responsible for the procurement, coordination and management of exhibition contractors throughout an exhibition project and working alongside internal teams to provide quality assurance for build and install elements.

This role is a permanent role and is based at IWM London. It is mainly project management focused and requires a high level of proficiency in MS Word and Excel. There may also be a requirement for line management responsibilities in the future. Travel to the other IWM branches is a requirement of the role, where travel is required to other branches this will be expensed.

In Addition, Your Duties Will Include

Programme and Project Management
  1. You will be responsible for the programming and management of the construction and object installation phases of temporary exhibitions, liaising with Exhibitions & Interpretation Managers/Officers and designers as well as co-ordinating input from other internal teams, e.g. Facilities Management, Visitor Services, Conservation and AV teams.
  2. You will work with the Exhibition & Interpretation Manager/Officer supporting the preparation of project documentation, such as the project initiation documents, schedules and budgets and risk registers.
  3. You will attend design and content meetings, advising on production and practical design elements in the early stages of design.
  4. You will programme and chair Project Production meetings, co-ordinating sampling and prototyping, reviewing technical drawings and reporting on progress.
  5. You will liaise with the internal Conservation team, programming the conservation, transport and mount making of objects for display.
  6. You may on occasion be asked to provide support for the long-term gallery maintenance programme or updates to the long-term galleries as required.
Financial and Resource Management
  1. You will manage the production budget as part of the wider exhibition project budget.
  2. You will work with quantity surveyors, Exhibition & Interpretation Managers to identify costings, produce cost plans, forecast spend and flag any budgetary deviations or resourcing issues throughout the project.
  3. You will support the Head of Production and Delivery, advising on future project budgets and resourcing as part of the corporate planning process.
Procurement and Contract Management
  1. You will prepare and analyse tenders in line with IWM procurement procedures as required.
  2. You will manage the contractors from appointment, acting as their point of contact throughout the production phase.
  3. You will oversee the object installation schedule when required.
CDM and Health & Safety
  1. You will deal with CDM and health and safety matters relating to temporary exhibitions.
  2. You will ensure that staff, consultants, and contractors adhere to appropriate health and safety standards.
Record Management and General Duties
  1. You will ensure that a complete record of each exhibition project is maintained.
  2. You will manage the exhibition stores and assets across the branches.
  3. You will perform any other general departmental duties including dealing with correspondence, telephone calls and enquiries.
Travel within the UK will be required from time to time including to other IWM branches. Out of hours and weekend work may be necessary during busy periods, in particular in the run up to exhibition openings. Time off in lieu will be offered to cover this.
