Executive Personal Assistant

Head Office- Hybrid (2-3 days per week in the office)

Salary up to £46,400, pension, critical illness pay, life assurance, 31 days holiday (including bank holidays), exclusive company discounts on used car purchases, leasing deals and aftersales service.

The Executive Personal Assistant will provide comprehensive support to the Senior HR Director and Chief Finance Officer, assisting with a wide range of administrative tasks to ensure the smooth running of their day-to-day operations. This is an excellent opportunity for a highly organised and motivated professional to work closely with senior leadership, gaining invaluable experience at the heart of the company’s strategic operations.

In this role, you’ll be central to the executive team’s operations, where no two days will be the same. You’ll ensure everything runs smoothly, whether it’s preparing important reports, keeping systems updated, or managing ever-evolving schedules. Your ability to juggle priorities will be key as you coordinate high-level meetings and handle sensitive communications with discretion, ensuring nothing slips through the cracks. You'll also oversee the finer details, from organising complex travel plans to processing expenses, while seamlessly responding to any unexpected tasks that come your way.

Your Journey as an Executive Personal Assistant:

  • Proactively manage and prioritise the executives' schedules, ensuring appointments and meetings are arranged efficiently.
  • Serve as the main point of contact for the executives, handling phone and email enquiries, ensuring every engagement is handled with care and precision.
  • Take responsibility for comprehensive diary management, including scheduling, preparing for meetings, and recording minutes where necessary.
  • Organise and manage complex travel and accommodation, creating detailed itineraries to streamline travel plans.
  • Produce high-quality communications, including letters/emails, memos, reports, agendas, minutes and presentations as required.
  • Act on behalf of the executives when unavailable, addressing queries and redirecting them to the appropriate contacts to ensure seamless resolution.
  • Maintain and update a suite of internal systems.
  • Manage the administration and processing of company expenses for the executive team.

  • Exceptional attention to detail and a high level of accuracy in all aspects of work.
  • Outstanding written communication skills, ensuring clear, professional, and well-structured correspondence and reports.
  • Excellent verbal communication skills, with the ability to engage confidently with stakeholders at all levels.
  • The ability to handle shifting priorities and dynamic changes with ease.
  • Strong multitasking skills to manage multiple priorities while adhering to strict deadlines.
  • Advanced proficiency in Microsoft Word, Excel, Outlook, and PowerPoint, along with a high level of IT literacy for managing various systems and tools effectively.
