The Role

We are seeking an experienced Executive Personal Assistant to provide invaluable support to the Managing Director and other senior leadership team members. This role is critical in enhancing executive productivity, managing essential information flow, and assisting the leadership team in achieving the company’s strategic objectives.

Key Responsibilities

  1. Facilitating Leadership Efficiency: Manage routine administrative tasks to allow senior leadership to focus on strategic decision-making.
  2. Streamlining Operations: Create a more organised work environment by improving office processes, communication, and workflows.
  3. Acting as a Liaison: Serve as a communication bridge between executives and stakeholders, ensuring clear, timely, and effective communication.
  4. Providing Confidential Support: Handle sensitive information with confidentiality to protect executive and company interests.
  5. Administrative Support: Comprehensive support including managing schedules, appointments, and travel arrangements.
  6. Communication Liaison: Serve as the primary point of contact for stakeholders, managing inquiries and communications effectively.
  7. Meeting Coordination: Organise meetings, conference calls, and video conferences, preparing agendas and taking minutes when necessary.
  8. Project Coordination: Assist in managing strategic initiatives and projects by tracking timelines, resources, and deliverables.
  9. Office Management: Organise and maintain office systems including filing and data entry, ensuring executive offices are supplied and organised.
  10. Event Planning: Help coordinate company events, meetings, and initiatives, managing logistics and preparing necessary materials.
  11. Travel Coordination: Arrange comprehensive travel itineraries, including transport, accommodation, and meals.
  12. Financial Support: Assist in budget tracking, invoice processing, and expense reimbursements for board members.
  13. Research and Analysis: Conduct research and compile information relevant to the business, preparing summaries and reports.
  14. Industry Awareness: Stay updated on industry trends to inform executives about significant developments.
  15. Quality Work: Strive to produce high-quality work consistently and develop standards for good practice.
  16. Additional Tasks: Perform other duties as assigned by line managers.

Requirements

  1. Degree in Business Administration, Management, or a related field.
  2. Proven experience as an Executive Assistant or in a similar role, preferably in construction, engineering, or rail contracting.
  3. Exceptional organisational and multitasking abilities.
  4. Strong verbal and written communication skills.
  5. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and relevant software.
  6. Ability to work independently with minimal supervision and in a fast-paced, reactive environment.
  7. Professional demeanour with a commitment to confidentiality and integrity.
  8. Flexibility to adapt to changing priorities and deadlines.
