Job description

Aeroton, Johannesburg. A leading national supplier of on-trend stationery and gifting products is seeking a highly organized Executive Office Administrator to join their team. Must have a minimum of 2 years' administration experience, a relevant tertiary qualification, and advanced proficiency in Microsoft Excel and PowerPoint.

Key Responsibilities :

  • Provide comprehensive administrative and organizational support to the Managing Director and Exco team
  • Manage complex diaries, schedule meetings, send reminders, and coordinate catering for meetings
  • Organize travel arrangements and accommodation for the Exco team
  • Prepare board packs and assist in minute-taking during board meetings
  • Compile and manage expense reports and invoices
  • Handle financial investigations, bookkeeping tasks, and petty cash management
  • Order office supplies and manage inventory levels
  • Assist with the planning and coordination of special projects and company events
  • Oversee the scheduling of routine maintenance, repairs, and upgrades of company vehicles, ensuring fleet performance metrics are tracked and analyzed
  • Communicate effectively with drivers and resolve operational issues promptly
  • Prioritize the safety of drivers and vehicles, ensuring accurate records of fleet assets and driver performance

Requirements :

  • Minimum of 2 years' administration experience in a similar role
  • Relevant tertiary qualification
  • Advanced skills in MS Excel and PowerPoint
  • Strong organizational skills with a keen eye for detail
  • Excellent communication skills, both written and verbal
  • Ability to manage time effectively and meet deadlines under pressure
  • Must have reliable transport and a valid driver’s license
  • Presentable with a positive and strong personality
