Executive Assistant to the Group Supply Chain Director
Frimley Based (Mainly remote with occasional site visits)
£26.70 per hour Umbrella OR £23.53 per hour PAYE Inside IR35
3 Month Contract initially.
This is a great opportunity to work within one of the UK's leading Defence organisations based in Frimley. Mainly remote with occasional site visits.
Typical Duties Include:
Provide efficient, responsive, and confidential Executive Assistant support to a Senior Executive, ensuring that the priorities of the Executive are actioned and achieved.
Organise and summarise papers and reports, conducting additional research where necessary, to ensure that the Executive has all relevant background information needed.
Manage all incoming communications (mail, telephone calls, and messages); draft responses; redirecting where appropriate; obtaining additional information as necessary.
Ensure efficient management of the Executive's diary, including scheduling appointments, travel itineraries, and accommodation requirements, ensuring optimum use of the Executive's time.
Utilise detailed business and organisational awareness to ensure effective engagement with senior executives and external contacts on behalf of the Executive.
Manage and process the Executive's expenses/invoices, including budget management where directed by the Executive.
Support and/or deliver additional delegated responsibilities on behalf of the Executive (e.g. Data lead, SHE, BCM, etc.).
Coordinate team project and cyclical activity into an integrated plan and schedule, providing business support to align and integrate work plans.
Perform ad-hoc project work as directed by the Executive.
Knowledge:
Experience providing Confidential/Executive Assistant support to an Executive, or significant experience providing an administrative service.
Experience building and maintaining effective and professional relationships with senior Executives and stakeholders at all levels within an organisation.
Thorough understanding of handling confidential information/issues and recording/storing this information appropriately.
Good understanding of the Company, its structure, and relevant procedures.
Knowledge of key senior stakeholders for the executive, including an awareness of the Management/Leadership team.
Strong administrative skills, including documentation preparation for Business Management Committee/Functional Council meetings.
Excellent IT Skills - Advanced knowledge of MS Office (PowerPoint, Outlook, Word, Excel) and ability to touch-type.
Experience using digital communication mediums.
Good working knowledge of relevant company IT systems.
Strong problem-solving skills, able to identify problems through analysis and recommend solutions.
Demonstrable SMART (Specific, Measurable, Achievable, Realistic, and Timed) time management skills.
Effective communication skills, with the ability to communicate with tact and diplomacy with all levels of internal and external stakeholders.
Able to articulate information logically and concisely appropriate to the intended audience.
Capable of managing confidential and sensitive information with tact, total discretion, and sensitivity at all times.
