Exciting opportunity to deliver high level executive support to the Deputy Vice-Chancellor, Community and Leadership.

Base Salary $108,557 - $118,267 + 17% superannuation.

The Deputy Vice-Chancellor, Community and Leadership leads and is accountable for the University’s strategic direction and guidance across the University’s organisational development, culture, leadership and diversity, equity and inclusion (DEI) agendas.

About the opportunity

As the Executive Assistant to the Deputy Vice-Chancellor, Community and Leadership, you will provide the full suite of professional executive support services to the Deputy Vice-Chancellor, ensuring the specific needs and day-to-day requirements of the office are managed in a highly efficient and effective manner.

Working within a newly formed team and as the first point of contact representing the Deputy Vice-Chancellor, you will exercise a great deal of tact and understanding and ensure confidentiality while maintaining a client-focused approach to resolving matters that arise. Utilizing your experience and knowledge in the provision of executive level support, you will ensure that the Office of the Deputy Vice-Chancellor is managed in a highly professional manner, and that the needs of key stakeholders across the University are met.

Your key responsibilities will include:

  1. Provide broad, high level professional executive support to the Deputy Vice-Chancellor and effectively manage the general day-to-day operations of the Office.
  2. Navigate enquiries and communications, managing high-level internal and external stakeholder interactions with discretion.
  3. Coordinate the Deputy Vice-Chancellor’s calendar, appointments, and communications, ensuring optimal time management.
  4. Manage complex and, often urgent, travel arrangements for the Deputy Vice-Chancellor including itineraries for local, interstate, and overseas travel, in compliance with university policies and procedures.
  5. Build key relationships to gain an overarching understanding of strategic initiatives and drivers across the University, to deliver strategic support services and maximize the professional reputation of the University and the Office of the Deputy Vice-Chancellor.
  6. Develop and manage effective administrative systems and practices, including office support, document, and records management.
  7. Work closely with and report to the Director, Community & Leadership.

About you

Tertiary qualifications and/or relevant administrative experience within a tertiary organisation.

Demonstrated knowledge of academic institutions, structures and the higher education sector.

Experience managing a busy diary and providing travel organisation at the executive level.

Demonstrated experience providing secretariat support and the ability to effectively minute meetings.

Demonstrated experience in building effective working relationships with key stakeholders.

Excellent verbal and written communication skills, with experience in handling and appropriately escalating a wide range of enquiries.

Demonstrated computer literacy with a strong working knowledge of MS Office Suite applications.

A continuous improvement mindset and a passion for the University’s culture, leadership and diversity, equity, and inclusion (DE&I) agenda.
