Role Purpose
The purpose is to support the CEO primarily in the day-to-day functions of his role in order for him to fully focus on high level leadership and strategy. In addition, you'll provide support to executive team members, as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently and effectively, delivering business success.
You'll be a proactive, organised, disciplined professional, with exceptional foresight to anticipate needs and address matters before they arise, as well as possess the ability to effectively adapt to changing situations and handle situations with ease.

You'll be handling sensitive information, so maintaining confidentiality and discretion is paramount.
Role Responsibilities
- Manage the CEO's diary and allocate time to the most critical areas and schedule meetings to align with the CEO's strategic goals priorities and deadlines
- Act as a gatekeeper to the CEO, review, prioritise and respond to emails and phone calls
- Organise and maintain documents, records and files
- Minute taker at meetings; Board meetings, Senior Leadership Team meetings, prepare agendas and follow up on action items
- Manage CEO expenses
- Assist the CEO by managing workload and priorities. Identify and address issues across the business to enable the CEO to act effectively
- Anticipate future events to keep the CEO informed of crucial issues
- Assist the CEO and executive team in developing and executing the company's strategic vision and operational plans through project management, keeping track of actions, owners and priorities
- Co-ordinate the timely production of the monthly CEO report for the monthly Board meeting
- Co-ordinate and assist in Company/Departmental new initiatives to drive forward new developments, and or, to bring about change to meet the needs of the growing business; working collectively to 'Make it happen'
- Act as a sounding board and confidant to the CEO/Senior Management team; an honest broker and truth teller, be an extra set of eyes and ears to them to anticipate problems and call it out, especially on sensitive issues, and or, areas requiring diplomacy
- Assist the CEO/Senior Management team to identify, and or, support process improvement initiatives to drive operational efficiency
- Maintain effective internal Management Information (MI) reporting systems and ensure that all reports are produced on a timely basis
- Co-ordinate the maintenance of Cosegic's key operational policies and procedures
- Provide Quality Assurance (QA) support to Central Support/Sales and the wider team to include the checking of non-standard contracts, proof reading, and or, formatting of key reports/decks etc.
- Prepare and review internal and external communications, presentations, and reports on behalf of the CEO and executive team
- Provide comprehensive administrative support, including managing email, ad-hoc requests such as research and document preparation, coordinating schedules, diaries and managing calendars to ensure activities are properly arranged with no conflicts
- Coordinate and organize team communication and company events
- Build relationships with the business teams and understand what they do, their key objectives and strategy
Person Specification
The ideal candidate will possess excellent relationship and organisational skills combined with a thorough, meticulous attention to detail. They'll have proven experience in supporting C-Suite executives at a senior level within the Compliance and/or Financial Services sectors.
In addition, they will possess:
- Excellent verbal and written communication skills to interact with various stakeholders
- Problem solving skills and the ability to anticipate issues and solve problems proactively
- A high level of discretion and integrity and the ability to handle sensitive information with discretion
- Flexibility to adapt to changing priorities and handle unexpected challenges
- Maintain a professional demeanour in all interactions
- A proactive approach and the ability to anticipate the needs of the CEO
