Job Title: Executive Assistant to Executive Director of Care and Support

Contract Type: Permanent

Salary: £32.076.01 (£35,288.03 is achieved after 12 months successful performance in the role)

Working Hours: Full time 35 hours per week

Working Pattern: Monday to Friday

Location: Hull Hub Office, St Georges Road (Hybrid) Office based 2/3 days per week

The difference you will make as a PA to Executive Director:
The role holder will provide a senior level of administration and support to the Executive Director of Care and Support to ensure maximum effectiveness and efficiency. This role will support the Care & Support Committee and the wider Care & Support Executive Team. As an Executive Assistant, you will be the key person that ensures the seamless operation of the day to day activities. Your role will make a significant difference by expertly managing the Executive Director's busy schedule, prioritising tasks, and acting as a trusted gatekeeper for communications. You'll anticipate needs, and proactively solve problems before they arise, allowing the Executive Director to focus on strategic decision-making and leadership. Your exceptional organisational skills, discretion, and ability to handle confidential information will create a highly efficient work environment. We envisage your strong personal skills will enhance relationships with key stakeholders, both internal and external, effectively representing the Executive Director and the organisation.

About You:
We are looking for someone with:
  • Experience of providing senior level administrative support
  • Customer focused with strong communication skills, both written and verbal
  • Proven ability to multi-task in a busy, wide ranging role
  • Excellent organisation and time management
  • Ability to use Microsoft Word, Excel and Powerpoint at an intermediate level
  • Excellent attention to detail with the ability to work under pressure, deliver to strict deadlines and manage conflicting priorities
Role Requires You To:
  • Effective and strategic management of electronic diary; looking ahead to ensure best use of the ED’s time including making complex travel arrangements.
  • Responsible for communication by telephone, e-mail and written correspondence to other offices and external agencies
  • Managing emails including flagging items for action and monitoring progress
  • Dealing with customer complaints and monitoring until resolved. This will include liaising with senior colleagues across the business and may also include written responses or speaking to customers
  • Producing documents, briefing papers, reports and presentations for Executive Director of Care & Support
  • Proofread and format complex reports and documents ensuring that Riverside’s report writing standards are adhered to.
  • Administration of various meetings on and off site chaired by the Executive Director of Care and Support (including preparing papers and minute taking)
  • Involvement in a range of projects as the need arises
  • Providing support to the Care & Support Executive Team as required
  • Organising events/conferences/seminars/workshops etc
  • Reconciliation of personal expenses, mileage and credit card transactions
  • Managing, reviewing and updating of filing system
  • General office duties including monitoring post, photocopying and record maintenance

Person specification:
Essential Knowledge, Skills and Experience:
  • Experience of professional reporting writing and proofreading
  • Excellent English language skills - both written and verbal
  • Excellent typing skills
  • Experience of providing administrative support
  • Customer focused with strong communication skills, both written and verbal
  • Proven ability to multi-task in a busy, wide ranging role
  • Excellent organisation and time management
  • A high level of competency in the use of Microsoft Word, Excel and PowerPoint
  • Excellent attention to detail with the ability to work under pressure, deliver to strict deadlines and manage conflicting priorities
  • Must be a team player with a ‘can do’ attitude but must also be comfortable working alone and independently, without frequent face to face contact with other members of the team.
  • This role is designated as hybrid. However, there will be a requirement for infrequent travel to meet the ED of Care and Support and/or attend meetings at locations across the UK to effectively perform this role.
