The Role:

We are seeking a highly organised and proactive Executive Assistant to support two key members of our senior leadership team including the Chief Growth & Marketing Officer. The successful candidate will be responsible for providing high-level administrative and organisational support, ensuring efficient operation of the executive's office, and facilitating communication and coordination across various departments. This role requires a professional with exceptional organisational skills, discretion, and the ability to manage a wide range of tasks in a fast-paced environment.

Key Responsibilities:

  • Extensive diary and Calendar Management responsibilities:
    • Manage and maintain the executive's calendar, scheduling appointments, meetings, and conferences.
    • Coordinate travel arrangements, including booking flights, accommodation, and transportation.
    • Organise internal and external meetings, including preparation of agendas, materials, and minute-taking.
  • Communication:
    • Act as the primary point of contact for the executive, handling correspondence, emails, and occasional phone calls.
    • Draft, review, and format documents, presentations, and reports on behalf of the executive(s).
    • Liaise with internal departments, clients, and stakeholders to facilitate smooth communication and collaboration.
  • Project Management:
    • Assist with the management of key projects, tracking deadlines, and ensuring timely completion of tasks.
    • Conduct research, compile data, and prepare reports for executive decision-making.
    • Coordinate and follow up on action items resulting from meetings.
  • Administrative Support:
    • Maintain and organise the executive's files, records, and documentation.
    • Handle confidential information with the utmost discretion.
    • Support in the preparation of financial reports, budgets, and expense claims.
    • Take minutes for key meetings.
  • Other Responsibilities:
    • Organise and coordinate events, conferences, and team activities as required.
    • Provide general administrative support to other members of the global senior leadership team when necessary.
    • Own the organisation and delivery of monthly department meeting.
    • A strong understanding of global business units, supporting with global events and projects.

Key Skills and Qualifications:

  • Proven experience as an Executive Assistant, Personal Assistant, or in a similar role.
  • Exceptional organisational and time-management skills, with the ability to prioritise tasks effectively.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle sensitive information with confidentiality and discretion.
  • Strong problem-solving skills and the ability to work independently with minimal supervision.
  • Excellent interpersonal skills, with the ability to build relationships at all levels.
  • Flexibility to adapt to changing priorities and work in a fast-paced environment.

Desirable:

  • Experience working in FMCG, Beauty, Personal Care industries.
  • Experience booking foreign travel, including managing visa/work permit requirements.
  • Familiarity with project management.
