Executive Assistant (part time, 0.6 FTE)

Are you an experienced Executive Assistant, with a background in providing high-level executive support to the leader/s of the Senior Management Team as well as to the Chair of Council and members of the Governance structure?

Key Facts:

  • This is a part time (0.6 FTE), permanent contract;
  • Starting salary of £23,078 per annum (full time salary equivalent is £38,464).
  • You will be required to attend 4 Council meetings and circa 12 additional days for in-person committees per year, scheduled at least one year in advance. Along with weekly Senior Management Team meetings which take place on a Monday (11:00 – 13:00).
  • The post-holder must be able to dedicate to working a minimum of 4 times per month in the GOsC office in London (SE1).
  • Your working pattern can be over 3 days, 4 days, or 5 days.

The Role

The purpose of this role is to provide administrative support to the Chief Executive and Registrar (CE), Chair of Council, members of Council and the Committees, and members of Senior Management Teams (SMT) as required.

This role is integral to maintaining the integrity of the organisation and specifically the governance structures as well as ensuring the smooth operational delivery of their council and committees.

Key duties of the role include:

  • High-level executive assistance to the Chief Executive and Registrar and members of the Senior Management Team;
  • High-level governance assistance to the Chair and members of the Governance Structure (Council members, Committee Chairs, and members);
  • Liaison with staff and stakeholders in assistance and on behalf of the Chief Executive and Registrar, the Chair of Council and Committee Chairs;
  • Ad hoc administration support for the organisation.

The ideal candidate

Our client is looking for an experienced executive assistant, with solid diary management skills, and who is highly IT literate, open to learning new systems, and confident in using tools like Microsoft Office Suite, Admin Portal, and online meeting systems such as GoTo Meeting.

You will thrive in this role if you are flexible, an active listener and have exceptional attention to detail. You will handle challenges calmly, identify potential risks, and maintain respectful communication while addressing gaps in operations.

The Successful Candidate will have experience of:

  • Working within a comparable governance model.
  • Dedication to the principles of Equality, Diversity, Inclusion and Belonging.
  • High level executive assistance to the leader of the Senior Management Team, or equivalent.
  • High quality committee and working group administration skills including: diary management; scheduling; organising and co-ordinating meetings.
  • Organising and attending non-executive meetings; drawing up agendas; circulating papers; arranging for observers; taking accurate notes and writing minutes.
  • Moving between competing priorities in relation to staff and non-executive duties.
  • Applying a calm and pragmatic approach in all circumstances, even when faced with unexpected circumstances, complaints or last minute changes.

Knowledge and skills required:

  • Full comprehension of how governance structures operate and key governance terminology.
  • Ability to build and develop relationships with staff and governance structure, founded on established boundaries; reliance; respect; clear and open communication and compromise.
  • Ability to tactfully adjust the tone and texture of written and verbal communication, so that it lands tactfully and firmly, no matter who the receiver is.
  • Excellent administration skills and attention to detail in relation to quality and accuracy.
  • Flexible and adaptive to change and priorities. Ability to effectively cooperate with others to deliver organisation priorities, and help others achieve deadlines.
