About the Role:

We are looking for a talented and motivated Executive Assistant to join our team at Ferrero UK and support the Sales and Trade Marketing Directors.

As an Executive Assistant, you will play a crucial role in supporting the commercial teams, ensuring smooth operations and effective communication. Main Responsibilities:
- Calendar Management: Manage the Sales Director and Trade Marketing Director complex calendars, including scheduling meetings, appointments, and travel. Proactively coordinate and ensure the schedules are optimized and aligned with business priorities. Address scheduling conflicts and prioritize time-sensitive tasks.
- Communication & Correspondence: Screen and manage incoming correspondence (mail) and manage emails prioritizing critical issues and facilitating the flow of communication. Act as the first point of contact between the assigned Directors and internal/external stakeholders, ensuring efficient communication.
- Meeting Coordination: Prepare and distribute meeting agendas, materials, and presentations. Arrange meeting logistics, such as booking conference rooms, AV equipment, and refreshments.
- Travel & Logistics: Organize detailed travel itineraries for both domestic and international trips, including flights, accommodations, transportation, and visas. Manage last-minute changes and ensure seamless coordination of travel logistics.
- Office Management Support: Work closely with workplace management department to facilitate smooth daily operations when required.
- Project Management: Support on ad-hoc projects, supporting cross-functional integration and contributing to progress and meeting deadlines.
- Expense Management: Prepare and process the assigned Directors expense reports, reconciling receipts and ensuring proper accounting. Monitor and manage budgets, project expenses, and payments as needed.
- Vendors Management: Coordinate assigned Directors involvement in external events and board meetings, liaising with external parties and bodies as required. Ensure correct process follow up on system vendor management and invoices associated with any Region Board ad hoc purchase.
- Back Up: Temporarily supports as back up to the Executive Assistant to Managing Director, Finance, HR and SC Directors in case of absence.

- Previous experience in similar roles in medium-large organizations.
- Passion and curiosity are key in this role, along with a learning mindset.
- Can-do attitude with drive for excellence and improvement.
- Excellent at multitasking, prioritizing and maintaining very high professional standards when it comes to confidentiality.
- English language is must-have requirement, any other language is a plus.
- Proficient with Microsoft Outlook, Excel, PowerPoint, and Word.
- Experience with SAP (purchase orders, invoicing).
