Executive Assistant to Head of Europe & APAC Global Investment Banking (London)

What is the opportunity?
To provide highly professional and efficient Executive support to the Head of Europe & APAC Global Investment Banking while undertaking a wide range of administrative and EA duties with minimal guidance.

What will you do?

  • Complex diary management, anticipating the requirements and priorities of Head of Europe & APAC Global Investment Banking.
  • Effectively managing competing priorities with minimal supervision.
  • Manage inboxes for urgent items and for meeting materials.
  • Arrange travel and accommodation using online system (Concur) and prepare itineraries.
  • Process expenses in a timely manner using online system (Concur).
  • Responding in a professional manner to incoming phone calls and relaying accurate information.
  • Preparation of materials for key meetings, including agendas, meeting minutes, actions tracking and when required preparation of PowerPoint presentations, Word documents, and Excel spreadsheets.
  • Co-ordinating monthly and quarterly submissions to Committee and/or Board meetings, including managing submitters/reviewers in-line with deadlines.
  • Events management as required, in-line with strategic priorities, including but not limited to employee engagement events, town halls, off/onsites, and other ad hoc events as required.
  • Maintaining organisation charts for all RBC entities in Europe, as relevant for primaries and team distribution lists.
  • Maintaining accurate holiday and absence records for primaries and their teams.
  • Proactively acts as the Liaison and contact to the Business and Functional partners.

  • Mature, calm, diplomatic and professional approach at all times.
  • Experienced EA with ability to work independently.
  • Strong organisation skills at all levels involving a high level of attention to detail across all tasks.
  • Advanced knowledge of Outlook, Word, Excel and PowerPoint.
  • Experience of supporting Executives within Financial Services.
  • Strong communication skills (both vocal and written) with tact and diplomacy and ability to converse with senior management.
  • Calm and flexible nature in terms of dealing with urgent requests and situations.
  • A broad experience of dealing with a wide range of different personalities and workloads.
  • Strong organizational skills, attention to detail and problem-solving skills.
  • Good time management.
  • Advance knowledge of Outlook, Word and Excel.
  • Ability to quickly learn internal IT systems.

Nice to have:

  • Concur and CRM experience.
