We are seeking a proactive and highly organised Executive Assistant to support senior leaders at Imperial Business School, including the Vice Dean (Research and Faculty), Associate Deans, and the Chief Faculty Operating Officer. This role is key to managing diaries, coordinating meetings and travel, and supporting academic processes such as promotions and governance, while acting as a central point of contact across teams and stakeholders. You will also contribute to wider operational projects and office management, helping to drive the effectiveness of the Central Operations / Dean’s Office team.
In this role, you will provide high-level executive support to the Vice Dean (Research and Faculty), the Chief Faculty Operating Officer, and the Associate Deans (EDI and Education Quality). Your day-to-day will include managing complex diaries, arranging travel, preparing meeting papers and minutes, and coordinating faculty-related processes such as promotions and academic reviews. You will be the go-to person for ensuring meetings, logistics, and communications run smoothly, often acting as a liaison between senior leadership, faculty members, and internal and external stakeholders. Alongside direct executive support, you will contribute to wider operational projects, including sustainability, health and safety, and learning and development initiatives. You will also play a key role in maintaining the Dean’s Office by managing supplies, supporting events and VIP visits, and ensuring the team runs like clockwork.
We are seeking a highly organised and professional individual with significant PA/EA experience supporting senior leadership. The ideal candidate will demonstrate exceptional time management, communication and interpersonal skills, with a proven ability to handle complex diary management, travel arrangements and confidential matters with discretion. A strong command of written and spoken English is essential, along with the ability to draft high-quality documents, including minutes and presentations. The post holder will be self-motivated, proactive and capable of prioritising a busy workload under pressure. Proficiency in Microsoft Office and familiarity with administrative systems are required. Experience in higher education and an understanding of faculty-related HR processes are desirable.
