Job description

This global charitable organisation is looking for an exceptional Executive Assistant to support a busy C-suite executive in the charity’s climate division. The ideal candidate will be proactive, highly organised and confident, with previous experience working at C-suite level in a fast-paced, complex environment.

Ability to be proactive and stay a step ahead is essential. Experience managing someone with several different board seats across different organisations is required. Strong attention to detail is a must. We seek someone who thrives under pressure and enjoys working independently.

This EA must excel in inbox management, complex travel arrangements, scheduling and managing executive time. They must possess strong interpersonal skills and the ability to communicate with stakeholders at all levels. The role is privy to confidential information that requires the highest level of confidentiality and judgment.

The successful candidate must be able to build and maintain strong relationships, taking ownership of their work whilst managing busy diaries and staying one step ahead.

Experience in the climate and philanthropic sector is required. Must live within commutable distance from London.

Hours: 9 – 5:30 pm (some out of hours)

Based: Hybrid, flexible working, 2/3 days office

Duties include but are not limited to:
  • Inbox management
  • Diary management
  • Complex and frequent travel
  • Draft briefings
  • Write emails on behalf of Executive
  • Meeting agendas and minute taking
  • Collaborating with stakeholders to maintain databases, manage priorities and facilitate information sharing
  • General administrative duties, including invoice processing
  • Holiday and sickness cover, including assistance with high workloads / absences
  • Team onboarding
  • Serve as the main contact on behalf of Executive
  • Organise / coordinate events, team meetings, offsites, and high-level meetings
  • Establish systems and processes to track task delivery and allocate resources
