Key Responsibilities :
Executive Assistant to the Associate Provost for Student Success and Dean of Students :
- Provide critical executive-level support, ensuring smooth calendar management, meeting preparation, and coordination of priorities for the Associate Provost.
- Stay a step ahead by anticipating needs and keeping an eye on what matters most to help the Associate Provost and the Division to stay focused on strategic priorities.
- Handle sensitive communications and requests with discretion and professionalism, serving as a key liaison for internal and external contacts.
Project Management and Coordination :
- Lead the organizational charge in tracking and supporting multiple divisional projects, ensuring alignment with the Division's goals and maintaining momentum across initiatives.
- Support the development of a project management culture within the Division by guiding project leads in honing their organizational and management skills.
- Organize key divisional events, including training programs, workshops, and leadership development.
- Oversee the creation and delivery of marketing and communication assets that reflect the Division's commitment to student success.
Ownership of Key Projects :
- Basic Needs Coordinator : Administer essential programs, including the Swipe Out Hunger initiative and emergency funding distribution, ensuring students have access to the resources they need to succeed.
- Student Success Help Desk Operations Coordinator : Build and manage the new Student Success Help Desk, coordinating staffing, protocol development, and first-tier support for students, families, and campus partners.
Supporting Student Success :
- Help students navigate their personal and academic journeys by working closely with other departments and referring students for additional support when needed.
- Play a role in ensuring that the Division's initiatives resonate with students, fostering a culture where every student feels supported, valued, and empowered.
University and Divisional Collaboration :
- Collaborate on major university events such as orientation, family weekend, and commencement, ensuring smooth logistics that reflect the heart of student success.
- Maintain and update the division's website and social media presence to engage the Clark community and beyond.
Participate in the growth and development of the Center, Division, and Clark University :
- Support key initiatives and experiences within the Division of Student Success and the University, such as opening weekend, orientation, commencement, family weekend, traditional events, etc.
- Serve as a responsible committee representative as requested.
- Attend necessary meetings and inform staff regarding relevant information.
- Promote efficiency and courtesy throughout the University community and ensure consistency with the Division of Student Success mission and values.
- Remain cognizant of the University's mission and identity, the constant promotion of diversity, equity, and inclusion, and the importance of student voices.
- Communicate effectively with your supervisor concerning pertinent unit and / or University matters.
- Other duties as assigned that are within the best interest of the Division.
Requirements :
- Bachelor's degree with 3-4 years of relevant experience, especially in project management or executive support.
- Strong command of Microsoft Word, Excel, PowerPoint, Outlook, and Adobe Acrobat.
- Exceptional organizational, communication, and time-management skills.
- A collaborative mindset with the ability to anticipate needs, manage multiple priorities, and thrive in a dynamic, student-centered environment.
