Executive Assistant to Deputy CEO

Location: London (4 days in the office in Central London)

Salary: Up to £65,000 + discretionary bonus

12 month FTC (maternity cover)

Our client, a leading institution within the art world is hiring an Executive Assistant to the Deputy CEO to join them on a 12 month FTC to cover a period of maternity leave.

In this role, you will be the right-hand support to the Deputy CEO, ensuring seamless executive operations and enabling strategic decision-making across departments. You will oversee executive administration, global sales coordination, and financial tracking while acting as the key point of contact for stakeholders at all levels.

This role requires a candidate with a commercial operational background who is adept at streamlining workloads and working strategically with data to produce reports and enhance operational efficiency.

What You’ll Do

Executive Coordination & Direct Report Management
  • Act as the primary gatekeeper for the DCEO, ensuring direct reports are aligned with priorities and objectives.
  • Maintain oversight of direct report holidays and ensure coverage for business continuity.
  • Coordinate and prepare materials for appraisal meetings, ensuring all documentation is managed efficiently.
  • Manage regular check-ins with direct reports and oversee expense approvals on behalf of the DCEO.
Financial & Performance Tracking
  • Set up budget preparation meetings and ensure timely delivery of financial data to the DCEO.
  • Organise quarterly departmental and regional performance reviews.
  • Work cross-functionally to develop reporting frameworks that enhance financial and operational visibility.
Global Sales Coordination
  • Structure and facilitate global sales team reviews, ensuring the DCEO is fully briefed.
  • Assist in defining and implementing strategic frameworks, including decision matrices and process improvements.
  • Support communication around policy changes and global consistency initiatives.
  • Oversee global travel coordination in collaboration with regional sales management teams.
Executive Assistance & Strategic Support
  • Provide high-level administrative and strategic support to the DCEO, anticipating needs and prioritising effectively.
  • Manage scheduling, travel logistics, and meeting preparation, ensuring seamless executive operations.
  • Coordinate assets and resources for the Global Sales Committee.
  • Prepare board meeting materials, take minutes, and track follow-up actions.
  • Draft presentations, reports, and internal communications for the DCEO.

Who You Are

  • A proven track record as an Executive Assistant at a global C-suite level, with strong business administration skills.
  • An exceptional communicator with strong verbal and written communication skills with a high level of emotional intelligence.
  • Proactive and able to anticipate needs, manage multiple priorities, and maintain impeccable attention to detail.
  • Financially literate with experience handling budgets, financial reports, and operational processes.
  • Collaborative & Personable with the ability to build strong relationships across teams and represents the DCEO’s office with professionalism and discretion.
