About The Role
We are seeking a highly organised and proactive Executive Assistant to provide a combination of administrative support to senior executives and assistance to cross-functional teams across the company. Reporting to the Director of Operations, the successful candidate will be responsible for supporting the Executive Team, consultants, and scientists as required, coordinating company events and assisting with ad-hoc office and administrative tasks. This role will be an integral part of the company, contributing to the overall success of the business by ensuring administrative goals and priorities are met and the business operates efficiently. The ideal candidate will be detail-oriented, adaptable, and comfortable working on multiple tasks simultaneously.
Key Responsibilities
- Support to be provided to CEO & Executive Team: diary management and gatekeeping; travel arrangements; expenses; coordination of meetings and events; circulation of sensitive documents; interactions with Board and investors; organization of sensitive meetings.
- Provide a professional and highly responsive first point of contact across the various stakeholder relationships of the company (including investors, board members, academic and industrial collaborators/partners).
- Prepare and organise materials for meetings, e.g., presentations and reports.
- Oversight of the administrative and office functions: provide general support to company staff, administration of key meetings, travel, maintenance of filing systems and databases, maintenance of contract databases, conference coordination, support to internal & external communications (e.g., website).
Candidate Profile
- Bachelor's degree or equivalent experience.
- Previous experience with a strong administrative or EA/PA background.
- Excellent organizational skills to prioritise and handle multiple conflicting assignments quickly and accurately, while maintaining integrity and confidentiality.
- Excellent communication skills with experience managing complex calendars and scheduling across multiple locations and time zones, including domestic and international travel coordination and organizing meetings and events.
- Recognizing the importance of first impressions with senior team members, especially in interactions with key stakeholders like board members and potential investors.
- Experience working within administrative teams, allocating tasks, and setting clear timelines and priorities.
- Ability to work independently as well as cooperatively with colleagues at all levels to meet objectives, with a proactive work ethic and the ability to handle complex matters sensitively.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint).
- Actively contributing to a vibrant and innovative working environment where improvements and new ideas are adopted and freely shared among the teams.
- Desire and ability to work in a fast-paced, quickly changing environment, showing agility/flexibility to meet deadlines and goals and with a can-do attitude.
