The role

Kite Insights Limited is looking for a highly motivated and experienced Executive Assistant to work closely with their CEO.

The role will be fast-paced and dynamic, with opportunities to support Kite's growth and ultimate ability to help clients shape the debate on important global social and environmental issues.

This is an excellent opportunity for someone who has a passion, interest and understanding of the role of business and private enterprise in making a positive contribution to societal and environmental challenges.

There will be scope to progress within the company for the right candidate.

Reporting to: Chief Executive Officer (CEO)

Key relationships: CEO, Finance function, other Functional Heads

Responsibilities

  1. Scheduling and diary management for the CEO, acting as true enabler of connections with clients and partners.
  2. Enabling the administration of the CEO office in handling expenses and travel for the CEO and sometimes of other team members in case of larger events.

You will bring organisational skills, exceptional attention to detail, and the ability to multitask effectively in a fast-paced environment.

Skills and experience:

  1. A minimum of 10 years experience in a similar role, ideally in a large and fast paced consulting environment.
  2. Undergraduate degree.
  3. Excellent communication skills both written and oral.
  4. Proficient in Microsoft Office and Google tools, including Gmail, Docs, Sheets, etc.
  5. Flexible and highly motivated with ability to respond quickly to urgent requests and adapt to different time zones daily, working situations, etc.
  6. Ability to manage complex scheduling and sensitive business information.
  7. Ability to work with diverse teams, clients, and personalities.
  8. Precision and attention to detail.
  9. A passion for positive impact work on pressing global issues.
  10. Enjoy being part of a fun-loving and hardworking team.

Qualities:

  1. A passion, interest and understanding of the role of business and private enterprise in making a positive contribution to societal and environmental challenges.
  2. Be proactive with decision making, as well as an enthusiastic team player who is able to work collaboratively with multiple stakeholders, within and across organisations and teams.
  3. Self-directed and able to manage one’s own time and project delivery with limited supervision. Confident in asking for support and advice when required.
  4. Proven ability to manage conflicting priorities, under pressure and deal with several activities and demands at the same time. Proven ability to meet deadlines and work with changes at short notice.
  5. Have the drive to constantly explore developments and other actors in our space in order to stay informed of innovations and best practices.
  6. A strong and active interest in global issues relevant to Kite and its clients such as climate change, environmental issues, diversity, gender equality, sustainability, economic issues, health and technology.

Role specification

  1. Daily diary management for the CEO, extending to the team when necessary, and working within multiple time zones.
  2. Writing and editing outreach emails for potential and current client meetings, business development follow-ups and CEO's general correspondence, including with high-profile business and public figures.
  3. Contributing to the development of proposals and business development decks.
  4. Managing and organising the CEO's email, alerting the appropriate team members, and ensuring follow up on urgent items.
  5. Supporting the finance manager with costs/expenses for the CEO.
  6. Booking domestic and international travel and accommodation on behalf of the CEO, and when necessary, the team.
