Executive Assistant - FTC 15 months

Dartford

30,000 - 35,000 per annum

Monday - Friday, 9am - 5pm, Hybrid Working

I'm thrilled to be working with this amazing company to find an Executive Assistant to join their amazing team! This role involves providing extensive administrative support to the Managing Director, including diary management, customer interactions, travel arrangements, meeting organization, report and schedule preparation, and managing all administrative tasks in this bustling office.

Responsibilities:

  • Manage the appointment calendar and provide general secretarial support to the Managing Director.
  • Coordinate and provide travel arrangements.
  • Organize customer events, including industry activities, trips, and entertainment.
  • Maintain records of PPE, holidays, and absences, and generate reports as needed.
  • Handle general office administration, including compliance, office lease, and Health & Safety aspects.
  • Oversee facility management services and maintenance.
  • Manage office equipment, supplies, and consumables.
  • Support the HR team, including facilitating recruitment and training.
  • Act as the on-site IT coordinator, maintaining IT documents, including handover forms and IT setup for new recruits.
  • Provide administrative and/or project support to broader commercial functions as required.

Performance Indicators:

  • Efficient time management.
  • Timely and accurate reporting.
  • Adherence to budgets and policies.
  • Effective attendance, organization, and record-keeping.
  • Compliance with group and legal reporting obligations.
  • Health & Safety compliance with company targets and statutory requirements.
  • Audit compliance with internal standards.
  • Maintenance of a safe, secure, clean, and well-maintained office.
  • Ensuring the office is fully stocked with materials and consumables.
  • Providing support to various areas as detailed under responsibilities.
