Executive Assistant

An exciting opportunity for an experienced EA to join a dynamic, forward-thinking and collaborative team, working within an established investment firm in Mayfair. As the Executive Assistant to multiple Directors, you will play a pivotal role in ensuring the smooth running of their day-to-day operations. You will be expected to manage their calendars, coordinate meetings, handle administrative tasks, and provide comprehensive support to help them focus on strategic decision-making and business development. Hybrid working 4:1 is available.


Key Responsibilities:
  1. Proactively manage and prioritise the Directors' calendars, scheduling meetings, travel, and events to optimise time.
  2. Arrange complex domestic and international travel itineraries, including flights, accommodation, and transportation.
  3. Organise internal and external meetings, prepare agendas, and ensure that all necessary materials and documentation are available.
  4. Prepare and review reports, presentations, expenses and other documents as needed, ensuring accuracy and professionalism.
  5. Support the organisation of corporate events, conferences, and client meetings.
  6. Provide general office support including scanning, printing, photocopying and binding documents, handling invoices, and maintaining confidential files and records.
Key Requirements:
  1. Previous experience as an Executive Assistant supporting a busy team, preferably within a financial services.
  2. Strong background in managing multiple stakeholders and supporting senior executives in fast-paced, high-pressure settings.
  3. Ability to manage multiple tasks and priorities while maintaining a high level of attention to detail.
  4. Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint) and familiarity with other office software and systems such as Concur and Workday.
