Job description

We are looking for a highly efficient, organised and competent Executive Assistant with keen attention to detail and high standards for accuracy and efficiency that will report into the SVP & GM, Merchant Services Europe.

The SVP is based in London, and reports to the EVP & GM of Global Merchant Services International and is part of the International Leadership team.

The SVP leads a team of ~500 colleagues across several European markets. The nature of the leadership role requires significant travel and frequent meetings with senior leaders across geographies and Lines of Business. As such, this role requires a high level of self-management and personal responsibility coupled with keen prioritisation, professionalism and ability to manage multiple time sensitive and topic sensitive tasks. Strong communication skills (written and verbal) and the ability to influence to drive outcomes are also critical attributes.

Day to day responsibilities include, but are not limited to:

  • Coordination and managing business meetings, making all needed arrangements including sending invitations, reserving facilities, set up of our video communications tool Webex, transportation, catering and assembling meeting materials.
  • Calendar management, including coordination of compounded meetings with internal and external parties across multiple time zones, and management of calendar clashes.
  • Book and arrange multiplex travel arrangements/logistics including: air, hotel, transfers & visas.
  • Organising regular team meetings, 1-to-1s with team members and key partners, round table meetings and team-building activities, including agenda prep and any material preparation.
  • Draft and proofread internal and external communications for quality, accuracy and relevance, offer opinions to collaborators and relevant teams.
  • Coordinating the planning, logistics and technical setup of colleague Town Halls.
  • Timely and compliant expense management.
  • Prepare, maintain and consolidate organisation charts and distribution lists; track recruitment and headcount.
  • Acting as a positive ambassador for the GMS Europe Executive Office, with a high degree of professionalism and effective communication.

Required skills:

  • Ideal candidate should have significant previous experience as an Executive Assistant to a senior leader and familiar with office management and technologies.
  • Experience supporting global leaders located across multiple time zones.
  • Experience exercising discretion and confidentiality with sensitive information.
  • Motivated, proactive team player with strong initiative, organizational, administrative and interpersonal skills.
  • Strong attention to detail with emphasis on accuracy, quality, timeliness, follow through and sense of urgency in executing.
  • Must work well under pressure without losing composure and professionalism.
  • Excellent verbal and written communication skills (via phone, email and in-person).
  • High level of proficiency using MS Office including Word, Excel and PowerPoint, as well as internal AXP (or related) tools and systems - phone functions, MS Outlook, Ariba, Concur, Payroll, InviteManager, SharePoint and myHR.
  • Should have knowledge of AXP policies and office procedures.
  • Excellent time management and organizational skills with a strong focus on accuracy and attention to detail, ability to work flexibly, sometimes under pressure.
  • Proven ability to manage multiple priorities, work independently, work within deadlines in a fast-paced, dynamic environment and execute across multiple initiatives/tasks.

Ability to interact effectively and diplomatically with executives and Executive Assistants across the organization.
