JOB DESCRIPTION

RESPONSIBILITIES

  1. Maintaining an accurate, up to date calendar of meetings and commitments for the Senior Executive Leader, responding to requests for meetings, liaising with the Senior Executive Leader on his preferences, for who to meet with, how long the meeting is and responding quickly and accurately to changes in scheduling, planned and unplanned to maximize time.
  2. Planning and organizing travel arrangements; organizing, changing, rescheduling travel arrangements, both planned and unplanned, including air, hotels, car rentals and scheduling of meetings during trips to meet the needs of the Senior Executive Leader. This includes both domestic and international travel. The management of receipts and submission of travel expenses is part of this.
  3. General administrative duties e.g. responding to emails, requests for information, providing efficient and effective document retrieval systems.
  4. Personal and Family Administrative Management as directed, supporting him in the planning, organization, and completion of non-business-related tasks.
  5. Undertaking projects, as directed to continuously improve the administration services of the office of Senior Executive Leader.

QUALIFICATIONS

  1. Post secondary qualification, either diploma or university degree in business or related subject.
  2. Ideally 5 to 7 years + of administrative coordination, organizing, scheduling, project planning and time management experience with senior leaders.
  3. Background preferably in a business environment, that is fast paced and dynamic with an appreciation of how businesses operate.
  4. Ability to think clearly and respond calmly under pressure, prioritizing and dealing with more than one topic / issue simultaneously.
  5. Excellent time management skills, well organized, good attention to detail.
  6. Clear and concise communication skills, both written and oral.
  7. Confident and self-starter, able to demonstrate forward thinking to anticipate potential challenges that could adversely impact time management and scheduling.
  8. Strong problem-solving skills, with the ability to think creatively when looking for solutions.
  9. Comfortable with working outside of normal work hours as necessary.
  10. Interest in how businesses operate and the roles of different functions that fall under the leadership responsibility of the General Manager.
