EA – Insurance

We are working with one of our Insurance clients who are looking for an Executive Assistant to support one of their busy Board Members. You will have at least 5 years EA experience and will have supported at board level previously. The board member travels extensively, so you need to be able to manage a hectic travel agenda and an ever-changing diary.

The position will suit a confident, experienced, and strategic EA who can forward plan, manage key stakeholders, and network across the global organisation to allow the Executive to fulfil their role effectively.

You will have first-class communication skills and the ability to handle confidential matters in a responsive and timely manner. You will have excellent relationship management skills, high emotional intelligence, and be familiar with working with different cultures.

Duties & Responsibilities:
  1. Proactive and extensive calendar and schedule management ensuring you stay one step ahead at all times.
  2. Strong problem-solving and proactive management of issues.
  3. Available as needed for the Executive Board Member and provide backup support to the London Branch Managing Director's EA.
  4. All travel bookings and preparing international itineraries.
  5. Managing immigration and visa matters.
  6. Managing inbox/emails.
  7. Act as point of contact for various members of the leadership team globally.
  8. Assisting with agenda planning and presentation preparation.
  9. Attending meetings with the executive, minute-taking, noting actions, and following up as required.
  10. Keeping track of daily expenses and preparing monthly expense reports.
  11. Organising private matters as needed.
  12. Helping with formatting internal and external communication: memos, emails, presentations, reports.
