Executive Assistant to Vice President
Are you looking for a fast-paced administrative role that supports senior leadership in a global environment? If so, this Executive Assistant role could be an exciting opportunity to explore.

In this role you would be supporting the Head of Global Medical Affairs Specialty Care as Senior Executive Leader within the Organization of the Chief Patient Officer who is accountable for all Medical Affairs related strategies and activities in the Specialty Care Business. You would be a critical member of the team and integral to bringing these medicines to patients who need them.

In this role you will:

  • Manage and maintain Vice President's schedules and appointments including coordination with senior stakeholders such as CPO, CMO and CEO including travel arrangements
  • Proactively anticipate the needs of the Vice President as well as problem solve regarding the above
  • Prepare and submit accurate expense reports as required.
  • Manage diverse, routine and ad hoc administrative activities.
  • Arrange and coordinate meetings and events, including third party vendors as necessary
  • Draft and type memoranda, correspondence and generate reports
  • Draft and refine a variety of professional documents including correspondence, communications, presentations, and other essential materials.
  • Organize and manage high-impact engagement activities such as Town Halls and Let's Talks, in collaboration with the Leadership Team.
  • Develop and oversee Leadership Team meeting agendas, document detailed notes, and track actionable items to ensure timely completion and follow-up.
  • Manage and collate travel approvals
  • Proactively update distributions lists and Organizational Charts as personnel changes occur
  • File, retrieve documents and reference materials
  • Manage and prepare Purchase Orders and ensure invoice payment on time
  • Coordinate project-based work and provide budget management
  • Effectively collaborate with the administrative team by positively impacting and contributing to the success of the team on an ongoing basis
  • Serve as point of contact for the Centralized Administrative services team supporting the line of business

Basic Qualifications & Skills:

  • Previous experience as Executive Assistant in a professional environment
  • Excellent interpersonal and communication skills
  • Demonstrated ability to handle sensitive and confidential information with discretion and diplomacy required.
  • Experience with senior stakeholder management at the executive level in a heavily matrixed environment
  • Excellent Microsoft Office Skills (Word/ Excel/ PowerPoint/ Outlook) as well as AI technologies (COPILOT and GiGi) and TEAMS functions
  • Experience with managing IT solutions such as teamsites/sharepoints
  • Proactive, hands on attitude with a can-do approach
  • Ability to project manage and to organize each working day to be effective as possible
  • Problem analysis and problem-solving skills

Preferred Qualifications & Skills:

  • Previous experience working in a Life Sciences/Pharma Environment
  • Bachelor's degree in a relevant discipline
