Job description

Managing a small team to successfully book in and deliver private hires and events at Genesis Cinema, always ensuring that each event is professionally organised and maximises profitability.

Role responsibilities

  • Line manager to the Events Admin Assistant and Events Coordinator – overseeing their roles and ensuring workload is delegated according to role.
  • Working with the Events Admin taking each event from booking to delivery stage; liaising with collaborators, filmmakers and clients on the arrangements for each event; always ensuring their requirements are met.
  • Collaborating and checking the events team rota and liaising with the management team on projectionist and wider staff rota for events.
  • Leading the Events Admin Assistant and General Manager on logistical and financial aspects of event ideas to ensure they are programmed at the best time, date and terms to make them successful.
  • Managing the delivery and testing of all events films and other audio-visual content.
  • Working closely with the cinema’s projectionists to ensure audio-visual requirements are met for every event.
  • Leading weekly team briefings with management and heads of departments to communicate upcoming events.
  • Creating schedules and event information sheets for each event to brief collaborators, clients and staff.
  • On day event management, including instructing staff on their role as part of the event and ensure the event follows the schedule.
  • Pricing and providing quotes for private hires and other services; including DCP conversion, marketing etc.
  • Working with the Events Admin checking Sales Orders and Event Contracts are accurate and up to date.

Person specifications

  • Proven experience of event management, preferably in a film exhibition environment.
  • Excellent organisational skills and time-management.
  • Pro-active, able to take initiative with problem solving skills.
  • Proven experience of leading a team.
  • Ability to communicate with people of all backgrounds.
  • Ability to negotiate with clients while maintaining good working relationships.
  • Excellent attention to detail, reliable and conscientious.
  • Excellent communication in writing, in person and on the phone.
  • Comfortable with technology; ability to learn about digital cinema and other audio-visual equipment.
  • Ability to work in a high-pressure environment.
  • Comfortable discussing finances, with previous experience of doing so.
  • Ability to work independently and as part of a team.
  • Knowledge of digital cinema formats (DCP, KDM, HDMI, MP4 etc.)
  • Love of film and cinema
  • Experience of project management
  • Experience in film festivals, seasons or in a film exhibition venue
