The Role

Due to continued growth, we have an exciting opportunity for an Events Assistant, supporting the Events Manager in planning, coordinating, and executing various events. You will play a vital role in ensuring that every detail is carefully managed and that our events run smoothly from beginning to end.

You will assist with:

  • Supporting the Head of Events to plan and organise events, including logistics, scheduling, and budgeting;
  • Meeting pre-agreed targets and deadlines for the organisation of and effective running of all events;
  • Communicating and coordinating suppliers and venues, to ensure timely delivery of services and materials;
  • Effectively communicating and updating, by telephone and/or email, both internal and external clients and fee earners to ensure all events meet the firm’s standards. Please note that this may include communicating with vulnerable clients;
  • Managing attendee lists, and relevant internal and external communications;
  • Providing support during events, including setup, breakdown, and troubleshooting. Please note this may include attendance outside normal working hours, or at locations away from the office;
  • Maintaining internal systems with essential dates, including using Outlook and SharePoint;
  • Completing ad hoc administrative tasks. This will include, but is not limited to, managing invoices and maintaining event documentation.

You will ideally:

  • Be able to demonstrate excellent organisational skills and a proactive approach to resolving problems;
  • Have previous event planning or coordination experience. This is preferred but not essential;
  • Be able to demonstrate good communication skills;
  • Be able to work under pressure and meet tight deadlines;
  • Be confident and proficient with the usual IT software, especially Word, Excel, PowerPoint, Planner, Teams and Zoom. Experience of Canva is desirable, although training will be given where needed;
  • Have experience of assisting with the setup and effective running of webinars;
  • Have first aid and fire marshal qualifications. This is preferred but not essential, training will be provided.

Flexibility is needed to work evenings and weekends as required by the event schedules.
