Overview:
Reporting to the Senior Event Planner, the Event Planner will provide support and assistance during the coordination and planning of both internal and external events within a major stadium environment. They will also oversee and support all administrative duties for the Venue Catering Director. A passion for detailed planning and coordination, confident with the use of Excel, Word, PowerPoint, and other tools, with a knowledge of food and beverage, is therefore required.
You will have previous Event Planning experience, having worked and delivered events within recognized reputable and quality venues. You will also have outstanding organizational and time management skills and proven experience managing various calendars and appointments for Senior Leadership roles.
This role will complement and match our hospitality innovators, trendsetters, and industry leaders. The Event Planner role will suit an individual who can manage their workload while maintaining attention to detail and working to agreed time frames.
Role Purpose:
- Supporting the Senior Event Planner with all planning and administrative work related to Internal and Commercial events as well as supporting in the coordination of internal planning for major stadium events.
- Supporting the Catering Services Director with all administrative duties, including but not limited to, scheduling appointments and organizing diary entries, setting reminders for meetings, appointments, and other important tasks, and taking notes at meetings, preparing the minutes, and distributing to all participants.
- Meet with third-party clients to discuss the internal operation and help coordinate based on requirements.
- Co-ordinate and lead weekly C&E meetings, ensuring the room is booked, agenda distributed, minutes taken, and actions collated and communicated out post-meeting within agreed timelines.
- Attending daily 10 at 10 meetings with the Operations, Back of House, and Culinary teams.
- Lead and coordinate internal plan meetings for external and large-scale events.
- Working closely with the Event Planner to attend all relevant C&E meetings - internal and external, as well as site visits with the client.
- Demonstrate full alignment with the Levy UK and client vision and values by consistently doing the right things and celebrating successes.
- Establish and maintain excellent concise communication with all service partners, internal and external guests including Levy UK variable employees.
- Completing all other responsibilities and duties as deemed reasonable by direct line manager, Senior Event Planner.
Candidate Requirements:
- Min 2 years’ experience within a similar events role.
- Min 2 years’ experience in a similar administrator role.
- Min 2 years’ experience within quality restaurants or venues of quality.
- Experience in a multisite outlet, stadium, or event catering environment desirable.
- Ability to multitask and prioritize daily workload.
- Personal circumstances must allow working flexible hours to align with stadium activity.
- Strong organization skills with commercial awareness - sees beyond the obvious and is resourceful in seizing opportunities and solving problems.
