Duration: 6 Weeks (Potential to Go Permanent)
Job Type: 4 days a week (Tuesday to Friday) Hybrid
Rate: £13.85 per hour
Role Overview:
As an Event Operations Assistant, you will play a pivotal role in ensuring our clients' events run smoothly. This includes managing delegate and speaker coordination, assisting with webinar logistics, handling supplier communications, and supporting on-site operations for conferences and awards. While the role is initially temporary, there is an exciting opportunity for the right candidate to become a permanent member of the team.
Key Responsibilities:
- Delegate & Speaker Management: Coordinate with delegates and speakers before and during events, ensuring seamless participation and communication.
- Reporting: Assist with event reporting, tracking engagement, and providing key insights post-event.
- Webinar & Zoom Support: Manage webinar schedules, assist the Zoom partner with event logistics, and provide technical support to ensure virtual events are executed flawlessly.
- Awards & Conference Support: Assist on-site with the logistics and coordination of awards and conferences, ensuring smooth operations throughout.
- Supplier Liaison: Be the point of contact for suppliers, ensuring materials (such as badges) are printed and distributed in a timely manner.
- Salesforce & Cvent: Support event registration and reporting through Salesforce and Cvent. We are especially looking for someone with Salesforce experience to streamline event operations.
- On-the-Day Support: Provide hands-on assistance with any task as needed, ensuring the event's success and smooth execution.
Requirements:
- Previous experience in event operations or a related field is desirable.
- Strong organizational and multitasking abilities, with attention to detail.
- Excellent communication skills and the ability to collaborate with clients, suppliers, and colleagues.
- Familiarity with Salesforce and Cvent is preferred, especially if you're a Salesforce whizz!
- Experience with virtual event platforms like Zoom is a plus.
- Ability to stay calm under pressure and handle multiple tasks during busy event days.
- Flexibility needed based on the event schedule.
- A hands-on, proactive approach to ensuring all event details are managed effectively.
- Proficiency in Salesforce.
- Experience with Cvent and Zoom.
- Background in coordinating large conferences or awards events.
- Strong problem-solving and time management skills.
