THE ROLE

The European WPS coordinator supports the Workplace Services (WPS) team across the European function providing dedicated administrative support, coordination of operations, and functional projects. The WPS team structure is set up to share best practice and work collaboratively as one team, delivering reliable and consistently high levels of support to the business. The European WPS Coordinator will be the ultimate team player in our structure and key to delivering our functional mission statement and best in class Associate workplace experience.

WHAT YOU'LL DO

  • Administration & Support:

    • Perform administrative tasks to support organisational effectiveness and efficiency.
    • Assist in researching new workplace environment initiatives.
    • Support the development of the WPS vision and strategy.
    • Conduct floor checks, log jobs, and follow up.
    • Develop close relationships with colleagues and service partners.
  • Project Administration:

    • Provide general project administration support as needed.
    • Attend meetings to take project briefs.
    • Arrange quotations for projects.
    • Maintain records of project documents and drawings.
    • Track project budgets and manage cost report spreadsheets.
  • Functional Finance (POs/Invoices):

    • Manage invoice queries from internal and external parties.
    • Process purchase orders.
    • Check invoice values against POs/contracts.

WHAT YOU'LL BRING

  • Builds great working relationships with team and associates.
  • Confident with a strong team working ethic.
  • Fluent in English; additional languages welcomed.
  • Proficient in MS Office software (Excel, PowerPoint, etc.).
  • Knowledge of finance systems (e.g., Oracle, SAP).
  • Excellent written and verbal communication skills.
  • Highly organised and efficient working style.
  • Performance-focused with the ability to prioritise and meet deadlines.
  • Proactive, motivated, with a can-do attitude.
  • Takes ownership and accountability for work.
  • Experienced in a fast-paced service delivery environment.
  • General Health and Safety experience desirable.
  • Ambitious and keen to develop the role.
  • Flexible approach to working, including outside normal hours for events management, emergency planning, office moves, etc.
  • Infrequent EU travel may be required.
  • Other tasks as reasonably requested.
