Job description

An exciting opportunity for an enthusiastic and competent individual to join the Endoscopy administration team.


They will be a good communicator with excellent interpersonal skills, good organisation, methodical, and able to remain calm when under pressure. The Endoscopy service is very busy therefore the post holder must have the ability to organise and prioritise their workload effectively, and work on their own initiative.


The post holder will be involved with a wide range of duties including:

  1. Calling patients to arrange their procedures.
  2. Dealing with telephone enquiries.
  3. Providing efficient support for the Endoscopy team.

To work as part of a team to provide an accurate and timely administrative service in Endoscopy, including:

  1. Booking of procedures and cashing up in line with the standards outlined in the Departments Operational Policy.
  2. Responsibility for arranging endoscopic investigations for patients added to the Trust Waiting List according to clinical need & the 18 week referral to treatment (RTT) target.
  3. Responsibility for the effective and efficient management of Endoscopic procedure waiting lists.
  4. Responsibility for arranging Pre-Assessment (POA) and Endoscopic Telephone Assessment Clinic (ETAC) appointments for patients added to the waiting list.
  5. Covering reception/the booking team when the need arises in events to include sickness and annual leave cover.

The post holder will have to demonstrate a high level of analytical and judgement skills such as excellent communication, flexibility and problem-solving. Examples of this is when prioritising the order of booking lists or communicating with patients that their procedure has been cancelled at short notice and trying to find another appropriate slot.


Offering a friendly, polite and personal point of contact. Often the Endoscopy Administrator will be the first point of contact in the event of a query.


The telephone is answered at all times and the system in place is supported to enable all queries to be actioned and calls redirected as appropriate.


The post holder will have accurate sending and receiving of electronic data using hospital systems such as PAS, DPR and HICSS.
