Description

We are seeking an exceptional Receptionist to join our vibrant team at Energy Aspects. As a part of a dual reception desk, you'll be the first point of contact, and play a pivotal role in crafting a warm and professional welcoming experience. Your vibrant energy, attention to detail, and flair for multitasking will be essential in ensuring the smooth operation of our office environment.

As part of our team, you will handle a variety of administrative tasks and make a difference in the working environment for the wider business. Your responsibilities will include managing wellness events and ensuring the safety of the office. You will be the "go-to person" to support our dynamic team, with opportunities to learn, grow, and take on more responsibilities.

This position will require flexibility and the drive to go beyond the core hours when needed, ensuring we all fulfill our goals. You must be able to work independently, as well as be capable of planning and prioritising to achieve success. Key Responsibilities

  • Registering and greeting visitors, clients and visiting employees.
  • Directing and announcing guests appropriately to EA colleagues.
  • Manage the front desk and ensure a professional, tidy, and friendly environment.
  • Managing and coordinating meeting room bookings, including setting up furniture and AV equipment as per meeting requirements and tidying up afterwards.
  • Handling incoming phone calls, screening, and forwarding them to the relevant individuals.
  • Ensure communal areas reflect our company's professional standards by maintaining cleanliness and order.
  • Maintain the inventory of office supplies such as refreshments and stationery.
  • Provide ad-hoc administration support to employees for office-related needs and inquiries.
  • Manage incoming and outgoing correspondence, including mail and courier services.
  • Assisting in organising internal company events or meetings including the arrangement of catering services if required (including occasionally outside of core business hours).
  • Manage or support the Energy Aspects Wellness scheme which includes organising team lunches, wellness activities and Friday bar drinks.
  • Support with employee onboarding including office orientation, ordering and distribution of company merchandise including business cards and welcome gifts.

Requirements

  • Previous experience in a receptionist or similar customer-facing role.
  • Fluent in English with excellent verbal and written communication abilities.
  • Strong ability to multi-task and excellent organisation skills.
  • Exceptional interpersonal skills with a customer-service mindset.
  • Proven ability to work autonomously as well as working alongside a team.
  • Strong interest in process improvement - finding ways to make operations more efficient and streamlined.
  • Adaptability and resilience when facing changing priorities.
  • Sound understanding of IT hardware & systems and basic understanding of office security protocols.
  • Proficiency in Microsoft Excel, Word, and Outlook and capacity to learn new systems.
