Job description

The Project Administrator will be part of the Provost’s Office working to provide consistent, accurate and comprehensive project and administrative support on matters relating to the Provost function. The Project Administrator works closely with the Provost stakeholders to provide robust support to Head of Provost’s Office. A key role for the Project Administrator is to provide project support and to cover for the Senior Administrator.

Please note: This role is Part time, 20 Hours Per Week.


Responsibilities:

  • Providing help and continuous support/assistance to Head of Provost’s Office.
  • Uphold high degrees of confidentiality and work closely with senior members of Staff.
  • Manage administrative tasks including maintenance of records and paperwork from collaborative partnerships and, often working closely with faculty colleagues e.g. Deans, Associate Deans, Year Programme Leaders and Student Success Tutors.
  • Assist with various projects and support with calendar management.
  • Taking meeting minutes and helping with preparation of certain reports and PowerPoint presentations.
  • Managing the Academic Calendar/Schedule.
  • There may be duties not listed above that the Project Administrator will have to carry out as requested by the Head of Provost Office.
  • Plan their work in relation to the structure of the academic year.
  • Working to the academic year schedule, you will work with a high degree of autonomy to manage and plan their work on a daily/weekly/monthly basis. A key challenge is actively managing work in preparation for peak times.

Minimum Requirements:

  • Business administration qualification, and project experience in a busy environment, ideally in Higher Education.
  • Strong interpersonal skills – active listening, excellent written and verbal communication.
  • Comfortable in the use of numeracy, and spreadsheets.
  • Strong administrative skills with proficiency in MS Office, Excel, Word, Teams, Outlook Mail/Calendar.
  • Excellent attention to detail.
  • Ability to work well as part of a team.
  • Ability to work under pressure and to deadlines.
  • The post holder must be flexible, approachable, and helpful.
  • Ability to handle sensitive and personal information with tact and confidentiality.
